Description
We are looking for a Service & Purchase Coordinator who will play a dual role in streamlining both after-sales service operations and procurement (including import coordination) of industrial machinery and spare parts. This position is crucial in ensuring smooth communication between service teams, vendors, and clients.

🛠️ Key Responsibilities
🔹 Service Coordination
Allocate service calls in consultation with the Service Manager; update status and timelines.
Prepare service quotations, proforma invoices, and order confirmations.
Handle documentation of order receipts and follow up on spare part payments.
Coordinate import logistics for spare parts and machine components.
Maintain and update the machine supplied list and customer database.
Make travel arrangements for service engineers and verify travel claims.
Update and manage CRM system with service data and call history.
Prepare and file detailed service reports for internal and client use.
Maintain and monitor spare parts inventory, including imported components.
Assist in organizing service-related exhibitions and demos.
🔹 Purchase & Administration
Procure items/services for office and technical operations.
Compare vendor quotes, negotiate terms, and issue purchase orders, especially for imported machinery and equipment.
Coordinate with international and domestic suppliers for machine imports, customs clearance, and logistics.
Identify cost-saving opportunities in procurement processes.
Organize logistics for exhibitions, seminars, and demo machines.
Maintain accurate records of company assets, machinery, and properties.
Manage documentation for inward/outward couriers and import shipments.
Maintain updated vendor and associate contact databases.
Arrange hospitality and support for visiting clients, partners, or guests.
🔹 General Administration
Support the smooth functioning and growth of NITSHAW through proactive task execution.
Handle additional responsibilities as assigned by management.
👤 Candidate Profile
Must-Haves:
Diploma in Mechanical Engineering OR Bachelor's in Business Administration / Supply Chain / Operations.
2–4 years of experience in service coordination or purchase operations, preferably in the industrial machinery sector.
Experience in handling imported machinery, spare parts, and international vendor coordination.
Strong knowledge of MS Office (Excel, Word, PowerPoint) and CRM tools.
Excellent organizational, multitasking, and time management skills.
Good verbal and written communication skills.
Preferred:
Background in capital equipment, woodworking machines, or special-purpose machines (SPM).
Experience working with customs clearance, freight forwarders, and logistics teams.
Exposure to industrial B2B environments and technical product understanding.
