Job Description

1. Role Summary The Office Sales Coordinator will manage sales documentation, prepare quotations, support the sales team, coordinate with production, and handle customer communication to ensure smooth order flow from enquiry to delivery.

2. Key Responsibilities A. Sales & Enquiry Management

- Attend customer enquiries through phone, email, walk-ins, and WhatsApp.

- Share product information, brochures, and price lists with customers.

- Prepare and send quotations, proforma invoices, and revision quotes as required.

- Maintain enquiry log, follow-up tracker, and daily/weekly sales reports.

B. Order Processing & Documentation

- Coordinate with the design/estimation team for BOQs, drawings, and technical clarifications.

- Collect customer approvals, purchase orders, and advance payments.

- Create and update sales orders in the system.

- Ensure all documents are complete before sending orders to production.

C. Coordination With Production & Dispatch

- Share approved orders with production along with specifications and timelines.

- Track production progress and update customers regularly.

- Coordinate with the dispatch/logistics team for delivery planning.

- Maintain dispatch records and installation schedules (if applicable).

D. Customer Relationship Management

- Provide customers with timely updates about their orders.

- Handle basic complaints or service requests and escalate when required.

- Maintain long-term relationships to support repeat business.

E. Reporting & Internal Communication

- Prepare MIS reports: enquiries, quotations, orders, dispatches, and pending payments.

- Coordinate with accounts for payment follow-ups.

- Communicate between Sales, Design, Production, and Management teams to ensure smooth workflow.

3. Required Skills & Competencies - Strong communication and customer-handling skills.

- Excellent follow-up and coordination ability.

- Proficiency in MS Office (Excel, Word, Outlook).

- Ability to multitask and manage deadlines.

- Basic understanding of UPVC systems (training provided).

- Good organisational and documentation skills.

Job Type: Full-time

Pay: ₹15,000.00 - ₹25,000.00 per month

Work Location: In person
