About the Role:

We are seeking a highly motivated and detail-oriented project coordinator/executive to join our dynamic team. In this role, you will be instrumental in supporting the planning, execution, and delivery of key projects. The ideal candidate will have a foundational understanding of the pharmaceutical industry, excellent organizational skills, and a proven ability to coordinate with cross-functional teams and external partners to ensure project milestones are met on time and within scope.

Key Responsibilities:

• Project Planning & Scoping: Assist in defining project scope, objectives, timelines, and resource requirements in alignment with strategic goals and regulatory milestones.
• Project Tracking & Reporting: Develop and maintain detailed project schedules using tools like Smartsheet or Microsoft Excel. Track project progress, identify potential risks or delays, and escalate issues to management to ensure timely deliverables.
• Stakeholder Coordination: Act as a central point of communication between internal departments (e.g., Scientific, Quality, Regulatory) and external partners, including Contract Manufacturing Organizations (CMOs).
• Documentation & Compliance Support: Facilitate the preparation, review, and management of project documentation, including those related to tech transfers and regulatory submissions, ensuring accuracy and compliance.
• Vendor & Logistics Management: Support procurement activities, including vendor evaluation and communication, to ensure the smooth execution of project deliverables.
• Meeting & Event Support: Organize and document project meetings, ensuring clear communication of outcomes and action items. May also assist in planning and executing company or stakeholder events.
• Process Improvement: Analyze existing workflows and contribute to the implementation of efficiency measures to streamline project operations and educational initiatives.

Required Qualifications & Skills:

• A Master’s degree in Analytical Chemistry, Biotechnology, Biochemistry, or a related life sciences field.
• 1-3 years of experience in a project coordination, intern, or trainee role within the pharmaceutical, life sciences, or a related industry.
• Project Management Fundamentals: Demonstrated experience in supporting project timelines, scope, and resource allocation.
• Stakeholder Engagement: Strong interpersonal and communication skills with the ability to collaborate effectively with both internal teams and external vendors/partners.
• Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint). Experience with project management tools like Smartsheet or similar systems is a significant advantage.
• Organizational Skills: Exceptional attention to detail and the ability to manage multiple tasks simultaneously in a fast-paced environment.
• Logistics & Vendor Management: Basic understanding of procurement and vendor coordination processes.
