Roles and Responsibilities:

Order Processing & Dispatch

  • - Ensure timely dispatch of all domestic and international orders.
  • - Process orders from multiple sales channels website (Shopify), Myntra, Amazon and pass them to the production/packing team to ensure on-time fulfillment.
  • - Manage and monitor the order processing line to maintain workflow efficiency.

Inventory & Purchase Management

  • - Maintain accurate inventory records and continuously monitor stock levels.
  • - Draft purchase orders in a timely manner to replenish inventory as required.
  • - Coordinate with the production team to ensure correct quantity, specifications, and modifications are implemented.

Logistics & Shipments

  • - Book domestic and international shipments with carriers (FedEx, DHL, Blue Dart, etc.) for timely delivery.
  • - Handle returns, replacements, and exchanges efficiently while ensuring smooth resolution.
  • - Prepare and manage export/import documentation and coordinate for customs clearance documents.

International Operations

  • - Oversee complete process for international orders including booking shipments, preparing export documents, and ensuring customs compliance.
  • - Ensure import documents are properly maintained for incoming goods.

Customer Queries Resolution & Support

  • - Manage and resolve Zoho Desk tickets in a timely manner to achieve customer satisfaction.
  • - Handle escalations and provide prompt resolutions to customer complaints submitted by the support team via Zoho Desk.
  • - Coordinate with the customer support team and production team for smooth communication and follow-ups.

Cross-functional Coordination

  • - Facilitate all order modifications changes in quantity, specifications, or delivery dates and communicate effectively across departments.
  • - Work closely with sales, production, logistics, and customer support teams to ensure seamless order flow and customer satisfaction.

Desired Candidate Profile:

  • Bachelor's degree in business administration, operations management, customer support or related field
  • Able to relocate to the place of work.
  • Proven experience in operations coordination or a similar role
  • Excellent attention to detail and accuracy
  • Good verbal and written communication skills.
  • Excel with formulas like V-look up, pivot table, h-lookup, countif, sumif
  • Able to prioritize, manage time and work to deadlines.
  • Familiarity with order processing systems and shipment booking platforms
  • Apprising credit memos, credit verification 5MIS & coordination
  • Proficiency in inventory management software and MS Office Suite
  • Tech-enabled: Should be comfortable with using Mobile Apps and computer systems
  • Knowledge of quality control procedures and production processes is a plus
