Operations Associate

Location: Greater Noida

Department: Operations / Real Estate Transactions

Reports To: Operations Manager / Head of Operations

Job Summary:

The Operations Associate will be responsible for managing end-to-end real estate transaction operations, ensuring seamless coordination between buyers, sellers, brokers, banks, and internal teams. The role demands meticulous attention to detail, excellent communication skills, and the ability to manage multiple tasks to ensure timely execution of property transactions. This role will require heavy coordination with brokers to carry out the multiple responsibilities shared along with directly carrying out these responsibilities in case of direct customers where there is no broker involved in the transaction.

Key Responsibilities:

Transaction Management

- Facilitate property documents logistics and review between the Seller, Openhouse & Buyer

- Track receipt and refund of token amounts, security deposits and manage related transactions

- Understand the acquisition and sale terms and communicate with Sellers & Buyers and their brokers to act as a bridge between the stakeholders to fulfill any requirement of both Parties

- Coordinate with seller brokers and buyers regarding final sale consideration at registry value, timelines, and loan treatment

- Coordinate to ensure compliance & incorporation of all feedbacks from parties to finalize ATS

- Manage ATS execution on ground and maintain proper records

Banking and Loan Coordination

- Liaise with Buyers banks for documentation and fund disbursement

- Ensure timely follow-up for loan closures, NDCs, and property documentation

Registry and Legal Compliance

- Facilitate coordination between the two parties for Builder and maintenance related requirements like application of Transfer of Memorandum, clearing Builder NOC and clearing any dues in maintenance office to ensure readiness for registry

- Support Buyer Seller to obtain necessary NOCs (RWA, Court Receiver, Property Tax, etc.)

- Ensure all required property papers and documents are collected and verified before registry

- Coordinate with Buyer’s broker and lawyer to close TDS submission, Stamp Duty, Registration Fees, Form 16 etc are generated in time before registry.

- Coordinate with project teams, brokers, deed writers, and government authorities to schedule and execute property registry

Post-Sale Coordination

- Handover property keys, invoices, and welcome gifts to buyers.

- Coordinate with project teams for post-sale commitments and promises.

- Ensure broker payments are processed accurately and on time.

- Maintain accurate records of executed sale deeds and share copies with relevant parties.

Required Skills and Qualifications

- Bachelor’s degree in Commerce, Business, Finance, Real Estate, or related field.

- 1-3 years of experience in operations, real estate, or property transactions preferred.

- Strong organizational and multitasking skills with meticulous attention to detail.

- Excellent communication and interpersonal skills.

- Ability to coordinate with multiple stakeholders including buyers, sellers, brokers, banks, and internal teams.

- Knowledge of real estate documentation, legal compliance, and banking procedures is a plus.

- Proficiency in MS Office and familiarity with automated agreement tools.
