Operations Assistant

As an Operations Assistant, you will be responsible for managing day-to-day recruitment operations, client communication, candidate engagement, and accurate reporting. You will serve as a critical link between stakeholders, ensuring high standards in service delivery and operations.


Key Responsibilities:


  • Ensure 100% response rate to client emails in a timely manner.
  • Deliver weekly and monthly reports on recruitment progress to management.
  • Maintain regular communication with placed candidates — daily in the first week and weekly thereafter.
  • Resolve candidate-related issues (such as salary delays and timesheet disputes) within 2 working days.
  • Ensure 98%+ on-time submission of candidate timesheets for approval.
  • Achieve 100% accuracy in verifying submitted timesheets against client-approved records.
  • Escalate any timesheet anomalies within 24 hours to both candidate and client.
  • Maintain error-free invoices and ensure prompt submission to the finance team.
  • Track and resolve any billing discrepancies within 5 working days.
  • Submit accurate internal reports on placements, active candidates, billing status, and more on a weekly basis.
  • Proactively identify and address issues before they escalate.
  • Maintain high attention to detail in all data entries, invoices, and timesheets.
  • Collaborate actively with recruiters, delivery heads, and the finance department.
