Operation Executive (Gurugram, Delhi)

Key Responsibilities

Event & Wedding Planning:

• Support clients through the wedding planning process — understanding requirements, creating checklists, and ensuring timely execution.
• 
  
• Coordinate with internal teams to align timelines, design preferences, and budgets.

Vendor Management:

• Source, negotiate, and manage vendor relationships (venues, decorators, caterers, photographers, logistics, etc.).
• 
  
• Ensure vendor deliverables are on time, within budget, and as per client expectations.
• 
  
• Maintain an updated database of verified vendors across categories.

Logistics & Operations:

• Handle on-ground event execution, including setup supervision, coordination between vendors, and last-minute troubleshooting.
• 
  
• Manage logistics for multi-day events (transport, stay arrangements, permissions, etc.).
• 
  
• Track payments, contracts, and service agreements.

Client Coordination:

• Act as the single point of contact for clients — ensuring clear communication, timely updates, and stress-free execution.
• 
  
• Build strong relationships with clients, addressing queries and ensuring a delightful experience.

Budget Tracking & Reporting:

• Monitor budgets, approvals, and expenditures to ensure financial control.
• 
  
• Maintain detailed event documentation, vendor invoices, and closure reports.

Requirements

• Education:

  Graduate in Event Management, Hospitality, Business Administration, or related field.
• 
  

• Experience:

  1–2 years of experience in operations, event management, hospitality, or logistics.
• 
  
• Strong organizational, negotiation, and multitasking skills.
• 
  
• Excellent communication and interpersonal abilities.
• 
  
• Comfortable working flexible hours, including weekends and travel for events.
• 
  
• Proficiency in MS Office / Google Workspace; familiarity with project tracking tools (e.g., Trello, Asana) is a plus.
