Role Overview:
As Manager: Operations & Quality, you will play a vital role in supporting the firm by managing core office, client and vendor responsibilities & day-to-day operations.
Your role is critical in ensuring smooth and timely operations & reconciliations that support Client Servicing and Portfolio Reporting.
Your Goal is to work closely with Deeraj, Research & Relationship Management Teams to Deliver Consistent and Quality advisory with data validation, audit requirements, and operational process improvements.
You will be responsible for executing and managing account opening and mutual fund-related activities across client portfolios.
This includes handling transactions, ensuring compliance, maintaining records, and coordinating with platforms, custodians, and internal teams
This position is ideal for someone who is proactive, detail-oriented, and capable of handling team coordination, and operational oversight.
Key Roles & Responsibilities:
1. Office & Team - Coordination & Communication
Ensure clear and timely flow of information, expectations & deadlines amongst members.
Track task progress and follow up with relevant team members to meet deadlines.
Act as in-office representative by staying connected with all team members, facilitating communication, and assisting in the preparation of internal and external review reports.
Coordinate with R&T agents, AMCs, platforms, and custodians for transaction execution, query resolution, and status tracking.
Track upcoming renewals, maturity dates, and pending transactions, and ensure proactive follow-ups.
2. Office & Client - Operations & Administrative Support
Oversee daily office operations including scheduling, vendor communication, documentation, mutual fund of MFU or KYC Operations
Schedule and manage meetings, ensuring timely coordination and follow-ups.
Maintain up-to-date client portfolio records and ensure proper documentation of all mutual fund activities.
Process mutual fund investments, redemptions, switches, and SIP registrations accurately and within set timelines.
Set up Client Account Opening, Monthly Team Reviews, Client Reviews, Prospect Reviews
3. Executive Support
Monitor Emails, WhatsApp, LinkedIn with appropriate responses.
Monitor and reconcile mutual fund transactions and holdings across systems and client accounts.
When the executive is traveling for meetings, coordinate with all relevant parties and independently schedule the full itinerary of appointments and follow-ups.
Manage Family, Parents – Documents, Investments, Taxes, Property Tax, Insurance, Bank & Financial Details
Assist in preparing reports, MIS, and operational summaries for internal and client use.
