Role Overview: You will be responsible for managing the calendar of executives, scheduling meetings, coordinating appointments, arranging travel logistics, handling communication, organizing meetings, maintaining documentation, providing administrative support, and ensuring confidentiality and professionalism. Key Responsibilities: - Manage executives' calendar, schedule meetings, and coordinate appointments. - Arrange travel, accommodations, and prepare travel schedules. - Screen emails/calls, draft correspondence, and handle routine queries. - Assist in organizing meetings, booking meeting rooms, noting key points, and following up on tasks. - Maintain records, prepare presentations/reports, and manage filing systems. - Handle vendor coordination and office-related tasks. - Safeguard sensitive information and represent the executive effectively. Qualifications Required: - Ability to prioritize tasks and meet tight deadlines. - Strong organizational skills in maintaining schedules, files, and follow-ups. - Clear and professional written & verbal communication. - Proficiency in MS Office (Word, Excel, PowerPoint, Outlook), Google Workspace, Teams, and Zoom. - Attention to detail in documents, reports, and scheduling. - Handling sensitive information with discretion. - Managing multiple responsibilities without compromising quality. - Building good rapport with stakeholders at different levels. - Quick thinking to resolve scheduling conflicts or unexpected changes. - Flexibility to handle shifting priorities and dynamic work environments.
