Job Description

Position Summary

The IT Tender Executive is responsible for identifying relevant government and private IT tenders, coordinating documentation, preparing technical & commercial bids, and ensuring timely submission. The role supports end-to-end tender management, compliance, vendor registration, and coordination with internal departments.


Key Responsibilities

1. Tender Identification & Evaluation

  • Track and identify relevant IT tenders on GeM, CPPP, e-Procurement portals, and private platforms.
  • Analyse tender eligibility, technical requirements, scope, and commercial terms.
  • Prepare Go/No-Go feasibility reports.


2. Documentation & Bid Preparation

  • Prepare and compile technical & commercial bids as per tender specifications.
  • Gather technical inputs, product details, certifications, and pricing from internal teams.
  • Ensure completeness, compliance, and accuracy of tender documents.
  • Draft proposals, cover letters, forms, BOQs, and annexures.


3. Coordination

  • Coordinate with IT, Finance, Legal, Operations, and Management for required information.
  • Communicate with OEMs, channel partners, and vendors for quotations and technical documents.
  • Manage vendor registrations and empanelments.


4. Submission & Follow-Up

  • Ensure timely online/offline submission of tenders.
  • Manage bid uploads, digital signatures, and portal registrations.
  • Follow up on tender status, clarifications, amendments, and results.


5. Compliance & Documentation

  • Maintain tender MIS, submission tracker, and documentation repository.
  • Ensure adherence to company policies, statutory requirements, and tender compliance standards.


Required Skills & Competencies

  • Strong knowledge of

    GeM, CPPP, e-Procurement portals

  • Understanding of IT hardware, software, networking & solutions (basic level)
  • Excellent documentation, coordination, and communication skills
  • Ability to work under tight deadlines
  • Proficiency in MS Office (Word, Excel, PDF)
  • Knowledge of digital signatures (DSC), vendor registration & e-bidding


Qualifications

  • Graduate / Postgraduate (Preferably in IT, Computer Science, Engineering, or Business).
  • 2–5 years of experience in IT tenders, bids, or documentation roles.


Experience:

  • Experience working with OEMs (HP, Dell, Cisco, Microsoft, etc.)
  • Knowledge of pricing, taxation, and commercial terms
  • Experience in government tender processes
