Import–Export Documentation Executive

Job Summary

The Import–Export Documentation Executive is responsible for preparing, managing, and verifying all documentation related to international trade shipments. The role ensures compliance with customs regulations, company policies, and international trade laws to enable smooth import and export operations.

Key Responsibilities

  • Prepare and process import and export documents such as:
  • Commercial invoices
  • Packing lists
  • Bills of Lading / Airway Bills
  • Certificates of Origin
  • Shipping bills and customs declarations
  • Coordinate with freight forwarders, shipping lines, customs brokers, and transporters.
  • Ensure compliance with local and international trade regulations, customs laws, and company procedures.
  • Track shipments and follow up on documentation status to ensure timely delivery.
  • Handle customs clearance documentation and support duty drawback, EPCG, or other export incentive schemes (if applicable).
  • Maintain accurate records of all import–export transactions.
  • Resolve documentation discrepancies and coordinate corrective actions.
  • Communicate with internal teams (sales, logistics, finance) regarding shipment and documentation requirements.

Skills and Competencies

  • Strong knowledge of import–export documentation and procedures
  • Familiarity with INCOTERMS, HS codes, and customs regulations
  • Good communication and coordination skills
  • Attention to detail and strong organizational skills
  • Ability to work with deadlines and manage multiple shipments
  • Proficiency in MS Office (Excel, Word) and ERP systems

Qualifications

  • Bachelor’s degree in Commerce, Business Administration, Logistics, or a related field
  • Certification or diploma in Import–Export Management is an advantage

Experience

  • 1–8 years of experience in import–export documentation or logistics
  • Freshers with relevant training may be considered

Work Environment

  • Office-based role with coordination across logistics, customs, and shipping partners
  • May require occasional follow-ups outside regular working hours due to shipment schedules

Job Types: Full-time, Permanent, Fresher

Pay: ₹15,000.00 - ₹40,000.00 per month
