Position: Human Resources Manager
Job Objective:
JiBe is a cloud-based fully integrated ERP system for the shipping industry. Our goal is to allow shipping companies to improve productivity, efficiency, and safety levels while reducing costs. JiBe ERP enables increased automation and streamlining of processes, creating pre-defined workflows, and reducing the usage of email and paper.
Job Responsibilities:
HR Process Documentation
- Review and write HR Policies and Procedures
- Review and prepare HR process flowchart
- Follow-up for the approval of company policies, procedures, and flowchart.
- Other duties as assigned.
On Boarding
- Ensure seamless and flawless on-boarding process (pre-onboarding and post on-boarding)
- Ensure new joiners engagement
- Ensure completion of all the joining formalities
- Ensure employee data management in the HR system
Induction
- Taking induction of selected employees and introducing them to the relevant stakeholders.
- Explaining to the company history, company policies, company profile and the departments
- Explaining to the Job profile and benefits
- Explaining the leave structure and other facilities
Attendance and Leave Management
- Monitoring and enforcing the attendance and leave policy
- Coaching the employees on the attendance and leave policy
- Taking disciplinary actions on the defaulters as per the company policy
Database Management
- Maintaining and monitoring the employee database in the system
- Maintaining all salary records and submitting to auditors at the end of fiscal year
- Keeping records of PF (Provident Fund) and PT (Professional Tax).
- Monitoring and maintaining all the company, employees, payroll and compliance database.
Payroll Management
- Monitor and manage the end-to-end payroll process
- Monitor and manage the end-to-end payroll and tax compliance
Statutory Compliance
- Preparing PF, ESIC, and PT statement every month and mailing to consultant
- Verifying PF, ESIC and PT challan received from consultant
- Processing the payments of all compliances
Performance Appraisals
- Monitor and manage the probation process.
- Monitor and manage the end-to-end performance appraisal process.
- Analyzing data and making report for appraisals.
- Providing HR feedback to the employees for performance improvement.
Employee Grievances:
- Handling employee grievances related to wages, increment and providing satisfactory solutions to their problems.
- Acting as a link between management and employees.
- Getting all the employees' issues solved in coordination with management.
- Manage all departments and maintain the decorum of the organization.
Employee Separation
- Monitor and manage the end-to-end exit process.
- Taking exit interviews and trying to retain good employees.
- Monitor and manage the full & final settlements
- Monitor and manage exit documents.
Office Manager
- Responsible for all office duties, maintaining efficient office operations
- Making sure that all admin activities are handled carefully and in the given budget
- Design and implement office policies
- Organize office operations and activities
- Petty cash management
- POC of the office owner
Qualifications and Skills
- Minimum 10 - 15 Years of HR experience as HR Manager with some job responsibilities in the software companies, including hands on experience in human resources: Labor / Employment law, office management, payroll, Statutory compliances, Benefits, Administration, and employee relations.
- Education: MBA Human Resources
- Highly organized with the ability to effectively manage and execute multiple tasks/projects simultaneously while working independently.
- English fluency.
- Excellent communication skills (both written and verbal)
- Leadership Skills
- Extraordinarily strong attention to detail and confidentiality with a commitment to high quality work
- Strong PC skills including expert proficiency Outlook, MS Word, PowerPoint, Excel, and internet research/data gathering; excellent analytical and problem-solving skill
- Experience in HR Automation, AI Implementation experience
