Role Overview

We are looking for a proactive and detail-oriented

Senior Executive / Associate Manager – Administration

to manage day-to-day administrative operations at myHQ. The role will involve overseeing travel management, vendor coordination, office supplies, and providing strong support for employee engagement initiatives. The ideal candidate should be organized, people-oriented, and able to work in a fast-paced environment with high ownership.

Key Responsibilities

  • Travel & Logistics Management
Manage employee travel bookings (flights, hotels, cabs) as per company policy.
Ensure timely approvals and adherence to travel guidelines.Coordinate with travel partners for cost efficiency and smooth execution.
  • Office Supplies & Facilities Management
Ensure availability and upkeep of office supplies, pantry, and stationery.
Support office facilities management, seating arrangements, and maintenance coordination.Act as the point of contact for workplace needs and queries.
  • Vendor Management
Coordinate with vendors for travel, office services, and supplies.
Track service levels, negotiate costs, and resolve operational issues.Maintain contracts, bills, and records for vendor-related transactions.
  • Employee Engagement Support
Assist HR in executing employee engagement events, celebrations, and townhalls.
Manage logistics for meetings, workshops, and employee programs.Ensure seamless execution of on-ground activities.
  • General Administrative Tasks
Oversee courier, dispatch, and other daily operational tasks.Support compliance requirements linked to admin vendors.Track and maintain admin expense records within budget.

Desired Candidate Profile

Graduate in any discipline (Administration/Operations preferred).

3–4 years

of experience in administration, facilities, or office management.Experience with travel booking, vendor management, and office admin tasks.Strong interpersonal, communication, and negotiation skills.High sense of ownership, ability to multitask, and attention to detail.Startup/fast-paced environment experience is a plus.
