Job Description

Head of the Administration and Security function for Bajaj Electricals Ltd(BEL). Ensure security of BEL employees and assets and always protect its reputation. Also plan and execute administrative support to the on roll and off roll employees, contract workers and visitors at the BEL offices, Warehouses , Plants, Guest Houses, Project sites etc at the assigned location and liaise with the respective Business / Government authorities effectively to protect and advance the best interest of the company.


Facility Management and Hospitality


  • Administration and maintenance of all existing BEL properties and hiring / disposal of properties based on requirement.
  • Ensure office space management and upkeep of Conference facility etc.
  • Travel management- Exposure in handling TMCs, handling transport (Ola/Uber,etc), Hotel accommodation etc.
  • Exposure in use of technology for streamlining office processes and increase transparency.
  • Exposure in vehicle management such as procurement, hiring services on rental, appointment of drivers, fuel management etc.
  • Coordinate with internal or external team and ensure that BAJEL and its vendors are compliant with all statutory compliances as per Law.
  • Exposure in liaising with Government agencies, Municipal Corporations, Building society, MTNL, Power utility companies etc.
  • Ensure utility payments are done on time.
  • Manage the assigned renovation or interior decoration work. Co-ordinate with contractor, architects, and team on the ground to ensure timely completion of project.
  • Management of Canteen / catering requirements.
  • Actively participate & contribute in implementing ESG / EHS compliances related to administrative activities.


Security


  • Responsible for security and safety of all BEL employees and assets and maintaining reputation of the Company.
  • Plan and ensure security of all BEL Plants, warehouses and offices.
  • To implement and evaluate programs for the protection of the employees, customer materials, and tangible and intangible assets, of BEL as per security, safety and business continuity policies.
  • To ensure implementation, direction and coordination of security, administrative and asset protection programs for operations at regional facilities.
  • To advise business and management in the security assurance process that include the national regulations and corporate governance and initiatives to identify and manage risks.
  • Ensure that fire safety compliances are complied with at the BEL premises based on assessment and guidelines given by EHS team and ensure firefighting equipment is always kept in serviceable condition.
  • Conduct training in Security related subjects and fire fighting for Security guards and the employees and contract workers as per norms.
  • Establish Liaison with local Police authorities.
  • Undertake travel to sites to assess / review security and Admin issues and remain updated.
  • Conduct inquiries into incidents and submit report to the MD and CEO.
  • Conduct risk assessment and prepare SOPs for risk mitigation and Emergency response.
  • Monitor the deployment of guards based on risk.
  • Ensure efficient third-party security services and implementation of all provisions of the Contract.
  • Plan the budget for Admin and security services.


Repairs & Maintenance:

  • Ensure all AMC’s are in place and are renewed well before expiry dates.
  • Ensure that all office equipment’s are in proper working condition and up to the mark at locations.


Liaison with Government Authorities:

  • Need to Liaise with all the government-related agencies whenever required e.g., for RTO / Passport related jobs, Shops & Establishment, Municipalities and other local government offices etc.
  • Ensure to maintain cordial relations & rapport with the District Administration and other Government agencies.

Miscellaneous

  • Responsible for planning and executing all procurement related to Admin and Security.
  • Organize and co-ordinate corporate events and functions assigned from time to time.
  • Should have sound understanding of financial and budgetary analysis, vendor management and commercials.
