GEM Specialist

Position: GEM Specialist
Experience Required: 3+ Years
Location: Ambala cantt
Department: Sales / Business Development / Tendering
Employment Type: Full-time

Role Overview

The GEM Specialist will be responsible for managing the complete end-to-end process on the Government e-Marketplace (GeM) portal, including product listing, bid submission, order management, compliance, and coordination with internal teams and government buyers. The ideal candidate must have strong knowledge of GeM procedures, documentation, pricing strategies, and government procurement guidelines.

Key Responsibilities

1. GeM Portal Management

  • Create, update, and manage product listings, catalogues, and pricing on the GeM portal.
  • Ensure all listings meet GeM compliance and quality standards.
  • Regularly monitor tenders, bids, and RFQs relevant to company products.

2. Bid & Tender Handling

  • Analyze tender requirements, prepare documentation, and submit bids within deadlines.
  • Coordinate with internal teams for technical specifications, pricing, and approvals.
  • Ensure compliance with government procurement rules and GeM guidelines.

3. Order Processing & Fulfillment

  • Handle purchase orders received through GeM.
  • Coordinate dispatch, delivery, and installation (if applicable).
  • Maintain timely communication with buyers regarding order status.

4. Documentation & Compliance

  • Maintain all necessary documents such as OEM authorizations, declarations, price confirmations, product specifications, and certifications.
  • Ensure compliance with GeM policies and any updates issued by the portal.

5. Relationship Management

  • Build and maintain strong relationships with government buyers, departments, and procurement officers.
  • Respond to buyer queries, clarifications, and follow-ups.

6. Reporting & Analysis

  • Track bid success ratios, order value, and performance of listings.
  • Prepare weekly/monthly reports for management review.
  • Monitor competitor pricing and market trends on GeM.

Required Skills & Qualifications

  • Minimum 3+ years of hands-on experience working on the GeM portal.
  • Strong understanding of government procurement processes and GeM rules.
  • Proficiency in preparing tenders, quotations, and product listings.
  • Excellent communication, coordination, and documentation skills.
  • Ability to manage deadlines and multitask efficiently.
  • Knowledge of MS Excel, MS Word, and online tender portals.

Preferred Qualifications

  • Experience in scientific equipment, laboratory instruments, or similar industries (optional).
  • Ability to handle product specification sheets and technical documentation.
