Job Description

Primary Role:
The Front Office Executive is the first point of contact for visitors and clients. The roleinvolves managing the reception area, handling administrative and clerical duties, andensuring smooth communication and coordination within the organization.Key Responsibilities:Reception & Visitor Management
  • Greet and welcome visitors, clients, and vendors in a professional and courteous manner.
  • Maintain a visitor logbook and issue visitor passes as per company policy.
  • Inform concerned employees of guest arrivals promptly.
  • Ensure the reception area is tidy, organized, and presentable at all times.
  • Ensure that clients, candidates, or visitors do not remain in the waiting area
  • unnecessarily after completing their meeting or purpose of visit; politely guide them to
  • exit or the appropriate area to maintain discipline and a professional environment.
Communication & Correspondence
  • Handle incoming and outgoing calls efficiently; route calls to respective departments.
  • Manage official emails, couriers, and postal correspondence.
  • Disseminate messages, circulars, and notices to relevant departments.
  • Coordinate with vendors for courier and delivery services.
Administrative Support
  • Maintain records of attendance registers, meeting schedules, and front-office reports.
  • Assist in scheduling meetings, appointments, and conference room bookings.
  • Maintain inventory of office supplies, stationery, and pantry items.
  • Support HR and Admin team in document filing, scanning, and record management.
Client & Employee Coordination
  • Assist in welcoming clients, candidates, and guests for interviews or official visits.
  • Coordinate with the HR department during recruitment drives and onboarding sessions.
  • Support inter-departmental communication and assist employees with administrative queries.
Facility & Housekeeping Coordination
  • Ensure cleanliness and maintenance of office premises through coordination with housekeeping staff.
  • Monitor and report any maintenance or repair requirements to Admin.
  • Ensure availability of refreshments for meetings and visitors
