Job Description

Role Summary The Finance & Legal Associate will support the Finance & Legal functions by drafting, reviewing, coordinating, and maintaining documentation related to partnerships, engagements, procurements, employment, and project proposals. This role requires strong written communication ability, clarity of thought, attention to detail, and proficiency in Microsoft Office. The role involves working closely with internal teams and external stakeholders, including vendors, advocates, consultants, and institutional partners. Key Responsibilities A. Legal Documentation ● Draft and review MoUs, Service Agreements, NDAs, Engagement Letters, Employment Agreements, Procurement Agreements, and other day-to-day contracts. ● Coordinate with internal teams and external parties (vendors/advocates/partners) to gather necessary details for contract preparation. ● Maintain a contract repository, track renewals, expiries, and compliance obligations. ● Ensure internal approval workflows and version control for all documents. B. Proposal & Concept Note Development ● Prepare project proposals, concept notes, budget outlines, and financial models supporting program and partnership initiatives. ● Convert discussions and conceptual ideas into structured documents with clarity and coherence. ● Assist in preparing cost estimates and basic budgeting for programs and initiatives. C. Documentation, Minutes & Coordination ● Draft and circulate meeting minutes and maintain action trackers. ● Schedule and coordinate meetings with partners, vendors, advocates, auditors, and consultants. ● Support compilation of legal and financial documents required for audits and CSR due diligence. Essential Skills (Mandatory) ● Proficiency in Microsoft Office 365, particularly: o Word: drafting, formatting, structure o Excel: data organization, tables, formulas (basic to intermediate) ● Strong writing skills — clear, structured, and professional language usage. ● High focus on detail, accuracy, consistency, and clarity. ● Ability to manage multiple documents and deadlines simultaneously. Recommended / Desired Skills (Added Advantage) ● Basic understanding of Contract Law and common commercial/legal clauses. ● Familiarity with financial and legal terminology, such as: o GST & invoicing terms o Payment schedules/milestones o Indemnity, confidentiality, IP ownership, termination clauses, etc. ● Exposure to or interest in compliance, governance, NGO sector legal frameworks, or CSR documentation. Note: Training and guidance will be provided where required.
