Job Description

The Facilities Coordinator is responsible for ensuring the smooth and efficient functioning of workplace operations. This includes managing building facilities, handling physical attendance systems, and supporting onboarding activities. The role requires strong coordination with internal teams and external vendors to maintain a safe, well-equipped, and employee-ready environment.

Responsibilities

  • Coordinate and oversee the daily operation and maintenance of office facilities.
  • Manage physical attendance systems (biometric, RFID, or manual) and ensure accurate reporting.
  • Handle laptop installations and setup for new hires prior to onboarding.
  • Coordinate with IT and, if necessary, visit service centers to resolve hardware or software issues.
  • Maintain inventory and order office supplies, including stationery and consumables/Pantry Management.
  • Manage welcome kits for new employees, ensuring timely preparation and delivery.
  • Liaise with vendors and service providers to ensure timely service delivery and cost efficiency.
  • Support desk allocation, space planning, and employee move logistics.
  • Assist in ensuring Compliance with security for laptops and other devices, and facilities.
  • Respond to and resolve facility-related issues or emergencies as they arise.
  • Provide support in preparing documents as per instructions from the Japan office, plus support the establishment of an internal management/control framework.

Requirements

  • 2+ years of experience in facilities, administrative support, or office operations.
  • Basic technical knowledge for laptop setup and troubleshooting.
  • Willingness to travel to local service centers as required.
  • Strong organizational and multitasking abilities.
  • Familiarity with attendance tracking systems and facility tools.
  • Proficiency in Microsoft Office and common workplace software tools.
  • Bachelor's degree in Facilities Management, IT, Business Administration, or a related field.
  • Prior experience with onboarding support or IT asset coordination.
  • Certification in facility management or operations is an advantage.
