Job Summary

We are seeking a detail-oriented and proactive Export Documentation Executive to manage end-to-end export documentation and ensure compliance with international trade regulations. The role involves close coordination with internal teams, freight forwarders, customs brokers, and overseas buyers to ensure accurate, timely, and compliant shipment execution.

Key Responsibilities

Export Documentation & Compliance

• Prepare, verify, and maintain all export documents including:
• Commercial Invoice
• Packing List
• Shipping Bill
• Bill of Lading / Airway Bill
• Certificate of Origin
• Phytosanitary / Health Certificate (where applicable)
• COO, FSSAI, HALAL, ISO, or other buyer-specific documents
• Ensure accuracy of HS codes, product descriptions, country of origin, and valuation.
• Ensure documentation compliance with DGFT, Customs, FSSAI, and destination-country regulations.

Shipment & Logistics Coordination

• Coordinate with freight forwarders, CHA, shipping lines, and transporters for smooth shipment execution.
• Track shipments and update internal teams and buyers on shipment status.
• Ensure timely filing of shipping bills and submission of post-shipment documents.

Buyer & Bank Coordination

• Share pre-shipment and post-shipment documents with overseas buyers as per contract terms.
• Coordinate with banks for negotiation/realisation of export proceeds under LC, DA, DP, or Advance payment terms.
• Maintain records for E-BRC, LUT, and other export incentives or compliance requirements.

Record-Keeping & Reporting

• Maintain organized digital and physical records of all export documents.
• Support internal audits, statutory inspections, and customer audits.
• Prepare MIS reports related to shipments, documentation status, and pending compliances.

Desired Candidate Profile

Educational Qualification

• Bachelor’s degree in Commerce, International Business, Logistics, or a related field.
• Diploma/Certification in Export-Import Management or Foreign Trade is preferred.

Experience

• 1–4 years of hands-on experience in export documentation (merchant exports preferred).
• Exposure to agro-commodities / food products documentation will be an added advantage.

Skills & Competencies

• Strong knowledge of export documentation procedures and Incoterms.
• Familiarity with ICEGATE, DGFT portal, and customs processes.
• High attention to detail and documentation accuracy.
• Good written and verbal communication skills in English.
• Proficiency in MS Excel, Word, and email correspondence.
• Ability to coordinate with multiple stakeholders and work under deadlines.
