About the Job
The Consolidator / Export Operations Executive is responsible for managing and optimizing export consolidation activities to ensure efficient container utilization, timely documentation, and smooth operational flow from booking to final loading. This role requires close coordination with suppliers, agents, vendors, and internal teams to maintain high accuracy, operational compliance, and customer satisfaction, while also supporting customs and documentation processes for overseas markets.
Key Responsibilities
Shipping Order (SO) Management
– Collect SO forms from suppliers and update Cargo Ready Date (CRD) accurately in the system, following internal SOP timelines.Shipment Consolidation
– Coordinate with shippers for consolidation planning to optimize container usage and reduce freight costs.Rate Coordination & Booking
– Obtain freight rates from appointed agents, seek approval from the Export Manager, and confirm bookings promptly.Shipment Execution
– Manage shipment execution post-confirmation, ensuring timely pickups, container stuffing, and smooth documentation flow.Customs & Supplier Coordination
– Support customs clearance processes in the UK and EU, ensuring suppliers are connected with appointed agents for seamless operations.Documentation Accuracy
– Prepare and verify export documentation (BL drafts, invoices, packing lists) and share with agents/suppliers as per deadlines.Vendor Coordination & Billing Review
– Cross-check vendor invoices (freight, trucking, warehousing) against agreed terms and shipment details before submission to Finance.Operational Tracking & Reporting
– Maintain consolidation trackers, CRD updates, and provide weekly operational status reports to the Export Manager.Process Improvement & Compliance
– Identify operational gaps, suggest improvements, and ensure full compliance with internal SOPs and client requirements.Cross-Functional Collaboration
– Work closely with Import/Export, Sales, and Finance teams for smooth handoffs and accurate billing.
Preferred Skills & Qualifications
- 3+ years of experience in export operations, preferably with LCL/FCL consolidation exposure.
- Familiarity with international freight documentation and INCOTERMS.
- Strong coordination skills to manage suppliers, shippers, and agents across multiple time zones.
- Proficiency in MS Excel, Google Sheets, and ERP/shipment management tools (e.g., CargoWise, Magaya, Shipthis).
- Good analytical, problem-solving, and follow-up skills with attention to operational accuracy.
- Ability to work under pressure and meet tight deadlines.
- Effective communication skills, both verbal and written.
