Job Summary

Export & Import Coordinator

Key Responsibilities

1. Documentation Management

  • Prepare, verify, and process all export and import shipping documentation including:
    • Commercial Invoice, Packing List, Bill of Lading (MBL/HBL), Certificate of Origin
    • Shippers Letter of Instruction (SLI), Export Declaration, AES/EEI filing
    • Import entries and customs documentation (as per CBP/CBSA regulations)
    • Letter of Credit documentation (if applicable)
  • Ensure document accuracy with correct HS Codes, Incoterms, consignee/notify details, and trade agreement compliance (CUSMA/USMCA).
  • Maintain organized and compliant documentation records for audits and internal reviews.

2. Coordination & Communication

  • Coordinate with shippers, customers, freight forwarders, carriers, customs brokers, and overseas agents.
  • Manage vessel bookings, schedules, and shipment updates.
  • Liaise with carriers for VGM, AMS, ACI, and other mandatory filings.
  • Ensure timely release of shipping instructions and customer BL approvals.
  • Communicate shipment status proactively and manage any deviations or exceptions.

3. Compliance & Regulatory Control

  • Ensure compliance with

    U.S. CBP (Customs & Border Protection)

    ,

    CBSA (Canada Border Services Agency)

    , and other relevant authorities (

    FDA, USDA, CFIA, Transport Canada

    , etc.).
  • Handle

    AMS (Automated Manifest System)

    ,

    ACI (Advanced Commercial Information)

    , and

    AES/EEI

    filings.
  • Accurately classify goods under HS codes and calculate duties/taxes as required.
  • Ensure adherence to all export-import regulations, trade agreements, and documentation standards.

4. Operations & Shipment Management

  • Track shipments from origin to destination, ensuring timely clearance and delivery.
  • Coordinate with internal teams and finance for invoice generation, billing accuracy, and payment reconciliation.
  • Update and maintain Daily Shipment Reports (DSR) and shipment trackers.
  • Resolve documentation or shipment discrepancies promptly to avoid delays.

5. Customer Service & Relationship Management

  • Provide customers with pre-alerts, shipment updates, and documentation copies.
  • Handle customer queries related to documentation, shipment tracking, and compliance.
  • Maintain strong relationships with customers, agents, and partners through efficient communication and service excellence.

Required Skills & Experience

  • Experience:

    Minimum

    57 years

    of hands-on experience in

    Export & Import documentation and coordination

    , preferably for

    USA & Canada trade lanes

    .
  • Strong understanding of

    Incoterms, HS Codes, AMS/ACI filing, AES/EEI submissions

    , and customs procedures.
  • In-depth knowledge of

    U.S. CBP

    and

    Canadian CBSA

    import/export compliance.
  • Familiarity with

    CUSMA/USMCA

    and related trade regulations.
  • Experience with major shipping lines and online documentation portals (

    Maersk, MSC, CMA CGM, Hapag-Lloyd

    , etc.).
  • Proficiency in

    MS Office (Excel, Word, Outlook)

    and logistics/ERP systems.
  • Excellent communication, coordination, and problem-solving skills.
  • Strong attention to detail and ability to manage multiple shipments and deadlines effectively.

Education

  • Bachelors degree in

    International Business, Logistics, Supply Chain, or Commerce

    (preferred).
  • Certification in

    Export-Import Documentation or International Trade

    is an added advantage.
