Job Description

Key Responsibilities

Executive Support

  • Manage the Founders calendar, ensuring seamless coordination across business and personal commitments.
  • Oversee complex scheduling across multiple ventures (The House of Rare & Rarefore).
  • Anticipate conflicts, track “to-do” completions, and ensure smooth day-to-day flow.
  • Collate and submit expense bills, ensuring timely coordination with Finance.

Communication

  • Draft, review, and manage correspondence (emails, memos, presentations) with precision and brand alignment.
  • Act as the first point of contact for internal and external stakeholders.
  • Liaise with senior leadership, partners, and high-profile individuals with professionalism.

Project & Event Support

  • Assist in planning and execution of brand activations, cultural events, and experiential gatherings.
  • Track timelines, budgets, and follow-ups to ensure flawless execution.

Travel & Logistics

  • Manage detailed domestic and international itineraries for the Founder and family.
  • Handle end-to-end travel logistics – visas, bookings, local transport, and on-ground experiences.
  • Anticipate requirements to ensure frictionless travel.

Research & Briefings

  • Prepare meeting briefs, research notes, and post-meeting action trackers.
  • Summarize key takeaways and present information in concise formats.

Personal Assistance

  • Handle personal scheduling, special occasions, and household arrangements with confidentiality.
  • Coordinate lifestyle purchases and family-related engagements.

Documentation & Gatekeeping

  • Maintain confidential records, prepare reports and meeting minutes.
  • Prioritize and filter requests to ensure optimal use of the Founder’s time.

Confidentiality

  • Manage sensitive business and personal information with utmost integrity.

Skills & Qualifications

  • Bachelor’s degree in Business Administration, Communications, or related field.
  • 2+ years’ experience supporting senior leadership (preferably in fashion, luxury, lifestyle, or founder-led setups).
  • Excellent command of written and spoken English; proficiency in MS Office and Google Workspace.
  • Exceptional organizational, multitasking, and interpersonal skills.
  • Discreet, proactive, and adaptable under pressure.
  • Comfort interacting with high-profile stakeholders across diverse industries.
