Job Description

Are you a highly organized, proactive, and exceptionally trustworthy professional eager to take on a pivotal role in a dynamic manufacturing business? VA Power, a growing leader in the industry, is seeking an Executive Assistant to directly support our CEO and contribute significantly to our continued expansion.

This is more than an administrative position; you will be the operational anchor for our CEO, providing holistic support across business, communication, and personal coordination. You will be instrumental in maximizing the CEO's productivity and ensuring the seamless and efficient flow of operations within a fast-paced environment.


Key Responsibilities:

  • Expertly manage complex calendars, scheduling, and comprehensive travel arrangements for the CEO.
  • Serve as a primary point of contact for all internal and external communications, fostering strong professional relationships.
  • Streamline administrative workflows, including meticulous document management, effective follow-ups, and data organization within modern systems.
  • Proactively support critical recruitment initiatives by assisting with candidate outreach, coordination, and administrative processes.
  • Ensure the efficient and accurate management of key administrative tasks, including subscriptions, bill payments, and vendor/customer documentation through our updated corporate portals (e.g., GEM).
  • Contribute to creating a highly organized, vibrant, and positive office environment.


What We Are Looking For:

  • Proven experience as an Executive Assistant or in a similar high-level support role, demonstrating exceptional organizational prowess.
  • Outstanding communication (written and verbal) and interpersonal abilities, with a natural talent for building rapport.
  • A high level of discretion, integrity, and trustworthiness in handling all confidential information.
  • Strong proficiency with modern office software, communication tools, and experience navigating corporate/vendor portals (e.g., updated GEM).
  • A proactive, anticipatory, and problem-solving mindset with a keen ability to manage multiple priorities seamlessly.
  • An innate habit for creating organized and energetic spaces, with an eye for detail and efficiency.
