Job Title: Executive Assistant (EA)

Department: Executive Office / Administration

Reports To: CEO / Managing Director / Senior Executive

Job Summary

The Executive Assistant provides high-level administrative support to senior leadership, ensuring the smooth and efficient management of the executive’s schedule, communications, and daily operations. The role requires discretion, professionalism, and strong organizational skills to manage confidential information and coordinate across multiple departments.

Key Responsibilities Executive Support

  • Manage and maintain the executive’s calendar, including scheduling meetings, appointments, and travel.
  • Prepare and organize meeting agendas, minutes, reports, and presentations.
  • Handle confidential correspondence, communications, and documentation.
  • Prioritize and manage multiple tasks while ensuring timely follow-ups and deadlines are met.
  • Act as the first point of contact between the executive and internal/external stakeholders.

Administrative Management

  • Draft and review correspondence, memos, and official communications on behalf of the executive.
  • Maintain organized filing systems (digital and physical) for easy information retrieval.
  • Manage expense reports, reimbursements, and budget tracking.
  • Coordinate logistics for meetings, conferences, and corporate events.

Communication & Coordination

  • Liaise with internal departments, clients, and partners to facilitate smooth communication and workflow.
  • Ensure the executive is well-prepared for all meetings and engagements.
  • Screen and route phone calls, emails, and inquiries appropriately.

Project & Task Management

  • Support strategic initiatives and special projects as assigned.
  • Track progress on key tasks and deliverables, providing regular updates to the executive.
  • Conduct research and prepare briefing materials for decision-making.

Qualifications & Experience

  • Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
  • 3–7 years of experience as an Executive Assistant or in a similar administrative role.
  • Excellent organizational, communication, and interpersonal skills.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Google Workspace, Teams, Slack).
  • Discretion and confidentiality in handling sensitive information.
  • Ability to work independently and handle pressure in a fast-paced environment.

Job Types: Full-time, Permanent

Pay: ₹500,000.00 - ₹600,000.00 per year
