Ads Pages Pvt. Ltd., a leading organizer of industrial exhibitions in Gujarat for over 15 years, is hiring an Event Manager to oversee complete exhibitor coordination after stall booking. This role is perfect for someone who is organized, proactive, and enjoys managing communication, operations, and on-ground activities during events.

You will be responsible for ensuring a smooth exhibitor onboarding experience — from payment follow-ups to booth design coordination, and finally managing the event halls during the exhibition days.

Key Responsibilities Exhibitor Coordination (Post-Sales Support)

  • Act as the primary contact for exhibitors after the sales team books the stall.
  • Provide onboarding support, share exhibitor manuals, deadlines, and event-related updates.
  • Maintain accurate records of exhibitor details, booth allocations, and documentation.

Payment & Documentation Follow-up

  • Coordinate with exhibitors for payment reminders, invoice sharing, and receipt collection.
  • Gather required documents such as GST details, MSME certificate, company logo & facia names.
  • Track payment status with the accounts team and update records accordingly.

Booth Design & Branding Coordination

  • Collect artwork, company branding, and booth design inputs from exhibitors.
  • Coordinate with the design team/vendors for approvals before printing and production.
  • Ensure all designs follow Expo guidelines and are finalized on time.

Exhibitor Onboarding Support

  • Assist exhibitors with portal login, badge creation, WhatsApp invites, and extra item ordering.
  • Share floor plan updates and respond promptly to exhibitor calls/emails.

On-Ground Event Operations (Hall Manager Role)

  • Manage halls during event days including stall possession, exhibitor check-ins & troubleshooting.
  • Coordinate with vendors — electrical, housekeeping, carpentry, freight forwarding, etc.
  • Ensure clean, safe, and organized setup throughout the event.
  • Address exhibitor concerns and provide timely resolutions.

Communication & Reporting

  • Draft professional emails, reminders, and announcements.
  • Conduct regular follow-ups with exhibitors to ensure compliance with deadlines.
  • Prepare daily progress reports and post-event documentation.

Skills & Qualifications

  • Bachelor’s degree in any field (Event Management preferred but not mandatory).
  • 1–3 years of experience in events, exhibitions, client servicing, coordination, or operations.
  • Excellent verbal & written communication skills (English, Hindi, Gujarati).
  • Strong organizational and follow-up abilities.
  • Ability to multitask, work under pressure, and manage timelines.
  • Familiarity with Google Sheets, CRM tools, email drafting, and WhatsApp Business.

Job Type: Full-time

Pay: ₹15,326.27 - ₹25,000.00 per month
