Job Description

Selected Intern's Day-to-day Responsibilities Include

Event Planning and Coordination:
  • Assist the team with the planning and organization of events, which may include conferences, workshops, corporate functions, or social gatherings.
  • Conduct research on potential venues, vendors, and event trends.
  • Assist with sourcing materials, decor, and other event-related items.
  • Help manage event timelines and checklists to ensure all deadlines are met.
  • Support venue and logistics management.
  • Assist with creating and updating event documentation, such as guest lists, schedules, and floor plans.

Vendor And Stakeholder Communication

  • Liaise with vendors, suppliers, and contractors to coordinate services and negotiate prices.
  • Assist with collecting necessary information from speakers, vendors, or sponsors (e.g., bios, materials, testimonials).
  • Help maintain effective communication with clients to understand their needs and ensure expectations are met.

Marketing And Promotion

  • Assist the marketing department with promotional efforts for events.
  • Help manage and update event social media accounts.
  • Draft promotional content, invitations, and press releases.
  • Track RSVPs and manage attendee lists.

On-Site Support

  • Provide on-site assistance during events, including setup, registration, and teardown.
  • Troubleshoot issues that arise during the event to ensure it runs smoothly.
  • Provide excellent customer service to attendees, guests, and vendors.

Administrative And Post-Event Tasks

  • Perform various administrative duties such as data entry, filing, and managing event schedules.
  • Assist with managing event budgets and tracking expenses.
  • Participate in post-event evaluations to gather feedback and suggest improvements for future events.
  • Help with organizing and cataloging event photos, videos, and other media.
