Job Description

Note : 12hr Fixed working hours (9am to 9pm) Dispatch Supervisor – Roles & Responsibilities 1. Daily Dispatch Planning Review all confirmed orders from CRM/Tele caller/Sales team every morning. Priorities orders based on order date, location, delivery commitment, and stock availability. Create a Daily Dispatch Plan and share it with the Production, Packing, and Loading teams. 2. Coordination with Production & Stores Follow up with Production for ready stock availability. Ensure all required SKUs (towel rod, tumbler holder, nylon sleeves, kits, etc.) are available and QC-checked before dispatch. Communicate shortages immediately to sales & management. 3. Packaging & QC Monitoring Ensure correct products, correct quantities, correct variants are packed. Check every parcel for: Label accuracy Clean and damage-free packaging Proper sealing and box strength Implement zero-error dispatch standards. 4. Courier & Transport Management Coordinate with courier partners (Delivery, Blue Dart, DTDC, etc.). Generate airway bills (AWB) and hand over parcels on time. Maintain a record of: Pickup timings Number of parcels High-priority shipments Track shipments until delivered. 5. Documentation & Record Keeping Update daily dispatch sheet with: Order number Customer details Items Quantity Courier partner Tracking number Dispatch date Maintain inward–outward register, invoices, packing slips, and dispatch logbook. 6. Coordination with Sales / Tele caller Team Inform sales team once orders are dispatched. Share tracking numbers accurately and quickly. Update in the CRM (TeleCRM/ERP) if required. 7. Inventory Support Assist storekeeper in updating daily stock-out due to dispatch. Suggest reorder quantities when stocks go below threshold. Report mismatch or missing items immediately. 8. Customer Support & Issue Resolution Handle issues like: Wrong item dispatched Missing quantity Damaged product returns Delay in courier pickup Coordinate between customer care, courier, and dispatch team. 9. Team Supervision Manage helpers and packing boys. Assign daily tasks and ensure efficiency and discipline. Train them in proper packing techniques, barcode reading, and quality standards. 10. Safety & Compliance Ensure safe material handling and clean dispatch area. Check all dispatches comply with company’s policies. Prevent mishandling, theft, or misplacement. 11. Reporting to Management Submit Daily Dispatch Report: Total orders received Total dispatched Pending orders with reasons Issues faced Highlight bottlenecks and suggest improvements.
