Job Description

Job Summary:

The Dispatch & Export Documentation Executive is responsible for handling all dispatch-related activities, export documentation, coordination with shipping lines, transporters, and ensuring smooth movement of goods from warehouse to customers (domestic and international). The role requires accuracy, attention to detail, and knowledge of export procedures and compliance.

Key Responsibilities:Dispatch Management:

  • Coordinate with production, warehouse, and sales teams for timely dispatch of goods.
  • Prepare dispatch plans as per customer and order requirements.
  • Generate delivery challans, invoices, packing lists, and other dispatch-related documents.
  • Liaise with transporters and freight forwarders for vehicle arrangement and shipment tracking.
  • Maintain records of all dispatches and logistics documentation.
  • Ensure proper packaging, labeling, and loading of goods to prevent damage in transit.

Export Documentation:

  • Prepare and verify all export documents such as:
  • Commercial Invoice
  • Packing List
  • Certificate of Origin
  • Bill of Lading / Airway Bill
  • Shipping Instructions
  • Export Declaration (Shipping Bill)
  • Coordinate with customs agents, CHA (Customs House Agents), and shipping lines for export clearance.
  • Ensure compliance with export laws, incoterms, and customer country regulations.
  • Track shipments until delivery and provide status updates to customers.
  • Handle post-shipment documentation and file management for audit and record purposes.

Coordination & Communication:

  • Communicate with customers regarding dispatch schedules, shipment details, and documentation requirements.
  • Coordinate internally with finance for payment clearances and bank documentation (LC, Bill of Exchange, etc.).
  • Resolve issues related to delayed dispatches, documentation errors, or shipment discrepancies.

Qualifications and Skills:

  • Education: Graduate in Commerce / Logistics / International Business or related field.
  • Experience: 2–5 years in dispatch or export documentation (preferably in manufacturing or export house).
  • Technical Skills:
  • Knowledge of export procedures, shipping terms, and documentation.
  • Proficiency in MS Office, ERP systems (SAP/Tally, etc.), and email communication.
  • Familiarity with customs and DGFT portals.
  • Soft Skills:
  • Strong attention to detail and accuracy.
  • Excellent coordination and communication skills.
  • Ability to multitask and work under pressure.

Job Types: Full-time, Permanent

Pay: ₹18,000.00 - ₹30,000.00 per month
