Job Title: Dispatch Executive/ Customs Coordinator

Location: Ludhiana, Punjab, India (In-office only)

Shift Hours: Night shift

Position Summary

We are seeking a Dispatch Executive/Customs Coordinator who is detail-oriented, fluent in English, and can manage customs documentation and communication efficiently. This role requires knowledge of customs regulations and strong proficiency in Microsoft products and Slack. Given the 24/7 nature of customs operations, candidates should be flexible with work hours.

Key Responsibilities

  • Prepare and process customs documentation for inbound and outbound shipments.
  • Ensure all customs paperwork is accurate and complies with regulations.
  • Coordinate with customs officials, brokers, and internal teams to facilitate timely clearances.
  • Maintain up-to-date records of customs declarations, shipments, and related documentation.
  • Use Microsoft Outlook, Excel, and Teams for communication, data management, and reporting.
  • Communicate customs requirements and updates to relevant departments via Slack and email.
  • Track shipment status, resolve issues related to customs delays, and follow up on pending clearances.
  • Assist with internal audits of customs documents to ensure compliance.
  • Stay informed about changes in customs laws, tariffs, and trade regulations.
  • Support other administrative duties as needed to maintain efficient customs operations.

Qualifications

  • Strong proficiency in English, both written and verbal.
  • Working knowledge of customs regulations and procedures in the transportation industry.
  • Proficiency in Microsoft Outlook, Excel, and Teams, as well as Slack.
  • Experience in a customs-related role within the transportation/logistics industry is preferred.
  • Excellent attention to detail and accuracy in document handling and data entry.
  • Strong organizational and problem-solving skills.
  • Ability to manage multiple tasks, prioritize effectively, and meet deadlines.
  • Must have WEEKEND AVAILABILITY
