Job Description

We are seeking a highly organized and proactive Content Delivery Operations Specialist to support the execution of our training and development programs. This role is critical in ensuring seamless delivery of content through meticulous coordination, client communication, and logistical support. You will work closely with facilitators, clients, and internal teams to bring learning experiences to life.

The Core Responsibilities For The Job Include The Following

Training Execution and Logistics:

  • Coordinate travel, accommodation, and scheduling for facilitators/trainers.
  • Liaise with clients to gather training materials, venue specifications, and tech setup needs.
  • Manage training calendars, timelines, and pre-session preparations.
  • Provide facilitators for appropriate training based on client requirements and program objectives.
  • Ensure seamless execution of all logistical components for both in-person and virtual training programs.

Client Communication And Support

  • Serve as the main point of contact for clients post-onboarding for all operational queries.
  • Provide ongoing support during program delivery to ensure a smooth experience for all stakeholders.
  • Proactively identify and resolve operational challenges.

Administrative And Documentation Support

  • Maintain updated records for each training project (including feedback, attendance, and logistics).
  • Assist in handling vendor coordination, invoice submissions, and compliance documentation.
  • Prepare and share communications, trackers, and reports for internal and client purposes.
  • Manage and negotiate with vendors.

Calendar Management

  • Schedule internal and client-facing meetings and manage the Director's calendars.
  • Prioritize and block time effectively for important deliverables and meetings.
  • Coordinate availability across internal and external stakeholders.

Requirements

  • 3-5 years of experience in training operations, client coordination, or project management.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint) and Google Workspace.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to juggle multiple tasks, meet tight deadlines, and thrive in a fast-paced environment.
  • High level of discretion, professionalism, and client orientation.

Preferred

  • Experience using project management or scheduling tools (Asana, Trello, Calendly, etc. ).
  • Prior experience in the L& D or consulting industry.
  • Experience in L& D, HR tech, or consulting environments.
  • Familiarity with project management tools like Asana, Trello, or Notion.
