Job Description

Position: Officer and Compliance - Executive

Location: Vadodara

Experience : For Officer - 3 Year Min & For Executive - 2 Year Min

Qualification: Graduation

Key Responsibilities:

  • * Effectively handle all Establishment and Payroll related Compliance Activities of Clients i.e. PF, ESIC, LWF, PT, Shops & Establishments, Contract Labour, Minimum Wages, Payment of Wages etc.
  • * Handle queries of clients and provide appropriate resolution in consultation with reporting manager / Back Office.
  • * Maintain all statutory documents of clients up to date.
  • * Ensure timely remittance of Statutory Payments.
  • * Escalate issues to the reporting manager as and when required for appropriate resolution/support.
  • * Proactive follow-up with back office for timely submission of invoice to clients.

* Manage PF, ESIC & PT (Payroll Compliance Service).

  • * Ensure timely filing of EPF Monthly Contribution before the timeline.
  • * Process PF claims of ex-employees for settlement, EPF transfer, advance, and death claims.
  • * Review notice/inspection status and drive closure with Ops team support.
  • * Solve ex-employees’ grievances and statutory complaints.
  • * Facilitate EPF transfer for exited and new employees.
  • * Handle employees’ EPF advance requests appropriately.
  • * Ensure timely creation of UAN for new employees.
  • * Assist client employees in the EPF claim process.
  • * Process settlements by checking eligibility of EDLI and GI Claim Process.
  • * Generate Monthly ESI Report and complete within every 15th.
  • * Verify ESI reports and coordinate timely payment remittance.
  • * Generate IP as per the timeline.
  • * Ensure Profession Tax remittance & return before deadlines across PAN India states.
  • * Prepare data for inspections & notices.

* Establishment Compliance Service (ECS):

  • * Monitor status of S&E RC, CLRA RC & License, Trade License and handle renewals.
  • * Collect statutory data from clients and update MIS.
  • * Collect gratuity paid details from clients to complete compliance activities.
  • * Coordinate and facilitate A&N display across client locations as applicable.
  • * Assist clients in handling queries, objections, and inspections by authorities.
  • * Ensure compliance with licenses and statutory requirements.
  • * Ensure timely filing of statutory returns & remittances under various Labour Laws.

* Vendor Compliance Service (VCS):

  • * Handle all vendor compliance activities of clients.
  • * Coordinate with clients, frontend team, backend team & vendors for data collation.
  • * Manage team efficiently to control escalations.
  • * Support clients during inspections of authorities.
  • * Maintain sound knowledge of Minimum Wages, ESIC Contribution, CLRA Act.
  • * Stay updated on laws and regulations, and ensure knowledge transfer to the team.
  • * Follow up on outstanding payments, raise & submit invoices.
  • * Knowledge of Payment of Wages, Payment of Bonus, Labour License applicability, OT wages.

* Factory Compliance Service (FCS):

  • * Monitor Factory RC, CLRA RC & License renewal status.
  • * Coordinate with clients to collect inputs for labour law registers.
  • * Complete statutory returns within deadlines.
  • * Upload monthly muster inputs in CLMS/TAMS and statutory registers in Simpliance REMO.
  • * File and maintain statutory registers and records.
  • * Conduct monthly vendor audits and report to ACSL Manager.
  • * Prepare documents for statutory approval/amendment.
  • * Submit statutory documents to authorities.
  • * Follow up on client payments.
  • * Assist clients in inspections and queries by authorities.
  • * Review notice/inspection status and close accordingly.
  • * Consolidate periodical return data, obtain client approval, and file before due date.
  • * File annual returns and maintain monthly records.
