Summary: -
The Store Incharge is responsible for managing all inventory and store operations, including material receipt, storage, issue, and recordkeeping. The role ensures proper stock control, documentation, and coordination with Purchase, Accounts, and Operations teams to maintain uninterrupted material flow while minimizing wastage and discrepancies. Accuracy, accountability, and systematic management of stock are key performance expectations.
Duties &Responsibility : -
· Supervise daily store operations, including receiving, inspecting, storing, and issuing of materials and supplies.
· Ensure that all goods received are verified against purchase orders and invoices.
· Maintain stock records accurately in the store ledger or ERP system.
· Ensure proper arrangement and labeling of materials for easy identification and access.
· Follow FIFO (First In, First Out) and FEFO (First Expiry, First Out) principles for inventory management.
· Record all stock transactions promptly and accurately in the system (Tally/SAP/ERP).
· Conduct regular stock counts and reconcile discrepancies with the Accounts department.
· Maintain daily stock registers, GRN (Goods Receipt Notes), and issue slips.
· Generate monthly stock statements and consumption reports for management.
· Prepare and submit reports on slow-moving, non-moving, and obsolete stock items.
· Coordinate with Purchase for replenishment of critical materials and reorder levels.
· Work closely with Accounts for verification of supplier bills and stock reconciliation.
· Liaise with Quality or Operations for inspection of incoming materials before acceptance.
· Support other departments by ensuring timely issuance of materials based on requisition.
· Ensure proper stacking, handling, and safety of all materials in the store.
· Maintain cleanliness, orderliness, and hygiene in the storage area.
· Ensure compliance with fire safety and occupational safety standards.
· Prevent loss, damage, or pilferage of store items through security measures.
· Ensure all store transactions comply with company SOPs and audit norms.
· Maintain all records and supporting documents for internal and external audits.
· Implement continuous process improvements to enhance store efficiency.
· Supervise store assistants and loaders for daily operations.
· Assign duties and monitor performance to ensure smooth functioning.
· Conduct periodic training on inventory control, safety, and record management.
KRA: -
· Accurate and real-time maintenance of stock records.
· Zero variance between physical and system stock during audits.
· Timely material availability to user departments.
· Reduction in stock wastage and obsolete inventory.
· Compliance with company SOPs, safety, and audit standards.
· Proper coordination between Purchase, Accounts, and Operations.
· Efficient utilization of storage space and resources.
KPI: -
· Stock variance maintained list during audit.
· 100% accuracy in stock ledger updates.
· Follow-define time frame for issuance of materials.
· Timely replenishment of stock based on reorder level.
· Completion of monthly stock reports by the 5th of every month.
· Zero cases of stock loss, pilferage, or expired materials.
· Compliance with FIFO/FEFO and audit documentation requirements.
· Clean and organized store environment with regular housekeeping checks.
Skills:
· Strong knowledge of inventory control systems and stock management.
· Proficiency in ERP software or inventory modules (Tally, SAP, Zoho, etc.).
· Good record-keeping and documentation skills.
· Analytical and problem-solving skills for stock variance analysis.
· Leadership and team supervision abilities.
· Coordination and communication skills for inter-department interaction.
· Awareness of safety standards and storage protocols.
Experience: -
· Minimum 4–8 years of experience in inventory or store management.
· Prior experience in hospital, FMCG, or industrial store operations preferred.
· Exposure to computerized inventory control systems required.
Education: -
· Bachelor’s degree in Commerce, Logistics, or Materials Management.
· Diploma in Store Management or Supply Chain Management preferred.
· Certification in Tally ERP or SAP Inventory Module is an added advantage.
