Position Summary

We are seeking a highly organized and proactive Executive Assistant to provide dedicated support to our senior leadership. This pivotal role is ideal for a detail-oriented professional who thrives in a dynamic environment, managing multiple priorities with precision and poise. You will be the right hand to our executives, ensuring their effectiveness and representing the Riverdale Aerovista standard of excellence.


Core Responsibilities

  • Executive Support & Coordination: Expertly manage complex and dynamic calendars, schedule meetings, coordinate travel itineraries, and prepare for client and stakeholder engagements with foresight and accuracy.
  • Communication & Liaison: Serve as a polished and professional gatekeeper and first point of contact. Field calls, emails, and visitors with exceptional discretion and diplomacy, handling sensitive information with the utmost confidentiality.
  • Document & Presentation Management: Prepare, proofread, and format detailed reports, presentations, proposals, and meeting agendas, ensuring all materials reflect the company's commitment to quality and detail.
  • Office & Client Experience Management: Facilitate seamless office operations, including ordering supplies, coordinating with vendors, and preparing for client meetings. Greet VIP clients and partners, contributing to a flawless and welcoming experience.
  • Proactive Problem-Solving: Anticipate challenges and operational needs before they arise. Take initiative to present solutions and streamline processes to enhance executive and team efficiency.
  • Stakeholder Relations: Act as a calm and capable liaison between senior leadership, internal teams, external partners, and prospective homeowners, maintaining strong, professional relationships.


Required Skills and Qualifications

  • A minimum of 2 years of experience in an executive support or administrative role, preferably within real estate, property management, construction, or a related professional services industry.
  • Exceptional organizational and time-management skills, with a proven ability to prioritize tasks effectively in a fast-paced environment.
  • Superb written and verbal communication skills; professional, articulate, and tactful in all interactions.
  • Impeccable attention to detail and a commitment to accuracy in all tasks, from data entry to document preparation.
  • Demonstrated ability to handle confidential and sensitive information with discretion and integrity.
  • High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and a quick adaptability to new software and technologies.
  • Strong emotional intelligence and a proactive mindset, with the ability to anticipate needs and work effectively both independently and as part of a team
