We began as Aangvi Weddings, a creative wedding décor and design studio dedicated to crafting bespoke luxury weddings with impeccable attention to detail. Over the years, we have delivered extraordinary celebrations, blending artistic décor, personalised experiences, and flawless execution across multiple destinations.
The Assistant Event Executive will assist the Event Manager in planning, coordinating, and executing weddings and social events from start to finish. This role requires strong organizational skills, creativity, and the ability to work under pressure in a fast-paced environment. The individual will act as a bridge between clients, vendors, and the internal team to ensure smooth event execution and client satisfaction.
1. Event Planning & Coordination
• Assist in brainstorming and developing event concepts, themes, and layouts.
• Support in creating detailed event proposals, timelines, and checklists.
• Research and coordinate with vendors for décor, catering, entertainment, etc.
• Help in finalizing venue layouts, floor plans, and décor arrangements.
• Assist in budgeting and cost management under the Event Manager’s guidance.
2. Client Interaction & Relationship Management
• Act as a point of contact for clients in the absence of the Event Manager.
• Assist in client meetings, note-taking, and updating event briefs.
• Ensure timely communication and updates to clients regarding event progress.
3. Vendor Management
• Liaise with vendors to ensure timely deliveries and proper quality checks.
• Assist in maintaining vendor agreements and payment follow-ups.
4. On-Ground Event Execution
• Supervise event setup, décor installation, and overall flow of the event.
• Handle last-minute changes and resolve any issues promptly.
• Coordinate with the team to ensure timely completion of event schedules.
• Assist in guest management and ensure client satisfaction on the event day.
5. Administrative & Back-End Work
• Maintain event-related documents, reports, and databases.
• Assist in preparing presentations, mood boards, and event proposals using tools like Canva, MS Word, Powerpoint and Excel.
• Manage social media updates (optional) related to event coverage if required.
• Education: Graduate in Event Management / Hospitality / Marketing / Any Relevant Field.
• Strong organisational and multitasking abilities.
• Excellent communication and interpersonal skills.
• Proficiency in Canva, MS Office (Word, Excel, PowerPoint); knowledge of design tools is a plus.
• Ability to work flexible hours, including weekends and late nights during events.
• Creative thinking with a keen eye for detail.
