Job Description:
Fire Systems Pvt Ltd is seeking a detail-oriented and proactive Administrative Officer with a B.Sc. in Fire Safety to join our team. This is an exciting opportunity for individuals who possess a strong understanding of fire safety principles, combined with excellent organizational and administrative skills. The role involves overseeing fire safety documentation, managing compliance records, supporting fire safety programs, and assisting in various administrative functions related to fire safety management in construction, industrial, and commercial environments.
Key Responsibilities:
Administrative Support & Management:
Documentation & Records Management:
Maintain up-to-date records of fire safety inspections, audits, training, and compliance certifications. Ensure all relevant documents are organized and accessible for internal reviews and external audits
Scheduling & Coordination:
Schedule fire safety inspections, audits, and training sessions for employees and clients. Ensure all deadlines are met and resources are allocated efficiently.
Compliance Monitoring:
Support the compliance team by monitoring fire safety regulations and ensuring that the company’s projects meet local fire codes and standards. Prepare compliance reports as needed.
Liaison with Stakeholders:
Act as the main point of contact for internal teams, contractors, regulatory authorities, and clients for fire safety-related queries. Facilitate communication and ensure that all fire safety matters are addressed promptly.
Fire Safety Program Support:
Training Coordination:
Assist in organizing and conducting fire safety training and drills for employees, contractors, and other personnel. Ensure that training materials are up-to-date and meet regulatory requirements.
Incident Reporting & Documentation:
Assist in documenting fire safety incidents and near-misses. Prepare detailed reports for management and regulatory bodies, identifying root causes and proposing corrective actions.
Program Updates:
Support the fire safety team in reviewing and updating fire safety protocols, policies, and procedures to ensure continuous improvement and compliance with industry standards.
General Office Administration:
Communication & Correspondence:
Handle emails, phone calls, and other communications related to fire safety matters. Prepare correspondence for regulatory bodies, clients, and other relevant parties.
Filing & Archiving:
Organize and maintain electronic and physical filing systems for fire safety documents, ensuring compliance with company policies and legal requirements.
Inventory Management:
Maintain an inventory of fire safety equipment, ensuring that stock levels are adequate and that the necessary safety equipment is available for use.
Required Qualifications & Skills:
Education:
B.Sc. in Fire Safety or a related field.
Experience:
Prior experience in fire safety or administration, preferably within a fire safety, construction, or industrial setting.
Skills & Competencies:
* Strong organizational skills and attention to detail.
* Excellent written and verbal communication skills.
* Knowledge of local fire safety regulations and standards.
* Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Ability to manage multiple tasks and prioritize effectively.
* Ability to work independently and in a team environment.
Certifications (Optional):
Fire safety-related certifications (e.g., Fire Safety Engineering, OSHA Fire Safety).
Job Type: Full-time
Pay: ₹18,000.00 - ₹25,000.00 per month
