Role Description

This is a full-time on-site role for an Administrative Executive, located in Noida. The Administrative Executive will be responsible for managing executive administrative tasks, providing general administrative assistance, and ensuring smooth office operations. Daily tasks include scheduling meetings, managing communications, coordinating events, and handling office documentation and supplies.



The Administrative Executive will support daily operations at the fashion studio/factory, ensuring smooth functioning of all administrative, facility, and logistics activities. This role requires someone with excellent organizational skills, discretion, and a proactive attitude, who understands the pace and aesthetic sensibilities of a luxury fashion brand.



Salary range: 20k - 25 k.


Key Responsibilities:


1. Office & Facility Management


Maintain cleanliness, security, and upkeep of the studio, office, and factory premises.


Coordinate with housekeeping, security, and support staff.


Ensure proper functioning of utilities (electricity, internet, AC, etc.)



2. Vendor & Inventory Coordination


Manage office supplies, factory materials, and stationary inventory.


Liaise with vendors for maintenance, purchases, and service contracts.


Oversee procurement of general office and operational needs.



3. Staff & Attendance Management


Maintain attendance records and manage biometric data if required.


Assist HR with new staff onboarding formalities (ID cards, desk setup).


Act as a support liaison between departments, housekeeping, and factory floor staff.



4. Travel & Logistics Support


Arrange travel bookings and accommodation for team or collaborators.


Coordinate courier services and sample dispatches.


Track and manage inwards/outwards material entries.



5. Meeting & Calendar Coordination


Schedule and organize internal/external meetings.


Coordinate appointments and calendars for senior leadership as required.


Prepare meeting rooms, refreshments, and AV setups.



6. Administrative Reporting & Documentation


Maintain admin-related files (digital & physical), invoices, and service records.


Support basic documentation for audits, licenses, and compliances.


Assist with vendor invoice processing and petty cash management.




Skills & Qualifications:


Graduate in any stream (preferably Business Admin/Management)


2–5 years of admin experience in a fashion/luxury/retail environment


Strong organizational and communication skills


Proficiency in MS Office (Excel, Word, Outlook)


Fluent in English and Hindi; local language a plus


High level of discretion, professionalism, and a strong sense of aesthetics
