ROLE SUMMARY

The Administration Manager will be responsible for overseeing the management and delivery of facilities services within a corporate environment. This includes managing day-to-day operations, ensuring compliance with health and safety standards, implementing cost-effective maintenance strategies, and ensuring a safe, comfortable, and efficient working environment for employees. The role will also involve managing vendor relationships, budgeting.

JOB RESPONSIBILITIES (Including, but not limited to:)

  • Administrative Leadership:

    Provide strategic direction and leadership for all administrative functions, ensuring alignment with organizational goals and objectives.
  • Operational Management:

    Oversee and coordinate various administrative activities, such as office management, facilities, procurement, travel, records management, and other operational processes.
  • Budgeting and Resource Allocation:

    Develop and manage the administrative budget, ensuring efficient use of resources and cost control.
  • Team Management:

    Lead and manage the administrative team, including hiring, training, roster management, work allocation, and fostering a positive work culture.
  • Communication and Collaboration:

    Establish effective communication channels and collaborate with other departments to facilitate smooth coordination and information flow.
  • Vendor and Contract Management:

    Oversee vendor relationships, negotiate contracts, ensure compliance with service level agreements and legal requirements.
  • Policy Development:

    Develop and implement administrative policies, procedures, and guidelines to streamline operations, ensure compliance, and promote best practices.
  • Risk Management:

    Identify and mitigate operational risks, implement appropriate controls, and ensure SEZ compliance with relevant regulations and policies.
  • Continuous Improvement:

    Identify opportunities for process optimization, efficiency gains, and cost savings, and lead initiatives to drive continuous improvement within the administrative functions.
  • Health & Safety Compliance:

    Ensure all facilities are compliant with local health, safety, fire, and environmental regulations.

REQUIRED SKILLS AND QUALIFICATIONS:

  • A bachelor's degree in business administration, and master's or equivalent will be preferred.
  • 8 to 10 years of experience in administrative management.
  • Provan track record of progressively increasing responsibility.
  • Strong leadership abilities, with the ability to inspire and motivate team.
  • Able to make strategic decisions and drive organizational changes.
  • Excellent communication, interpersonal, and negotiation skills.
  • Ability to collaborate effectively with diverse stakeholders.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks.
  • Readily available to meet deadlines and manage multiple responsibilities simultaneously.
  • Strong analytical and problem-solving abilities, to make sound decisions in complex situations.
  • Familiarity with relevant laws, regulations, and SEZ compliance related to administrative functions.
  • Ability in using MS office suit and technology savvy.
