Job Description – Administrative Associate

Role Overview

The Administrative Associate will support the day-to-day operations of the retreat, with a focus on pharmacy management, guest handling, and finance administration. The role requires hands-on experience with Zoho Books and Microsoft Excel, attention to detail, and strong interpersonal skills.

Key Responsibilities

  • Pharmacy Operations
  • Manage pharmacy inventory, procurement, and stock reconciliation.
  • Ensure accurate dispensing and billing of Ayurvedic medicines.
  • Maintain compliance with Ayurvedic medicine handling guidelines.
  • Guest Handling
  • Welcome and assist guests with check-in/check-out formalities.
  • Coordinate with doctors, therapists, and operations teams to ensure smooth guest experience.
  • Address guest queries and escalate concerns where required.
  • Finance & Administration
  • Prepare and issue invoices to guests for treatments, stay, and pharmacy purchases.
  • Record and manage daily accounting entries in Zoho Books.
  • Prepare financial summaries and assist in month-end closing.
  • Track receivables, payments, and petty cash management.
  • Data & Reporting
  • Maintain guest records, invoices, and pharmacy data in Excel/Zoho Books.
  • Generate periodic reports for management on inventory, revenue, and guest feedback.

Qualifications & Skills

  • Bachelor’s degree in Commerce, Business Administration, or related field.
  • 1–3 years of experience in administration, accounts, or hospitality (healthcare/retreat/hotel sector preferred).
  • Proficiency in Zoho Books (mandatory) and Microsoft Excel.
  • Strong communication and guest service skills.
  • Attention to detail and ability to manage multiple responsibilities efficiently.
  • Familiarity with Ayurvedic/pharmacy operations will be an added advantage.
