We're Hiring Executive Assistant To our C Suite Executive

Job Overview:

The Executive Assistant (EA) will support the Founder by managing day-to-day operations, handling communication, and ensuring the smooth functioning of business tasks. The ideal candidate will be highly organized, proactive, and able to handle sensitive information with discretion. This role requires a mix of administrative skills, project management, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

  1. Administrative Support

    :
    • Manage the Founders calendar, schedule meetings, and prioritize time-sensitive tasks.
    • Organize and coordinate travel arrangements (flights, accommodation, itineraries).
    • Prepare meeting agendas, documents, and minutes for review.
    • Screen calls, emails, and other communications, acting as a point of contact between the Founder and internal/external stakeholders.

  1. Project Management

    :
    • Assist in planning, coordinating, and executing special projects as directed by the Founder.
    • Track progress on key initiatives and provide regular updates to ensure milestones are met.
    • Follow up with team members on deadlines and action items to ensure timely delivery of tasks.

  1. Communication & Relationship Management

    :
    • Draft, edit, and proofread presentations, reports, emails, and other correspondence on behalf of the Founder.
    • Build and maintain strong relationships with key stakeholders, both internally and externally.
    • Handle confidential information with the highest level of integrity and professionalism.

  1. Event Planning

    :
    • Organize and manage events, conferences, and meetings, both virtual and in-person.
    • Coordinate logistics, materials, and follow-up actions for events led by the Founder.

  1. Operational Support

    :
    • Support the Founder in managing and overseeing key operational processes.
    • Conduct research, prepare data reports, and analyze information as required to assist in decision-making.

  1. General Support

    :
    • Provide personal assistance to the Founder when required (handling personal tasks, event planning, etc.).
    • Proactively identify opportunities to improve operational efficiency and simplify processes.
    • Liaise with HR, finance, and other departments to ensure the smooth execution of various functions.

Qualifications & Skills:

  • Education

    : Bachelor's degree in business administration or related field preferred.
  • Experience

    : Minimum of 5 years of experience as an Executive Assistant, preferably supporting senior leadership or C-suite executives.
