Job Description

The Warranty Executive is responsible for managing, validating, and processing warranty claims for assigned states. The role involves coordinating with customers, dealers, logistics, and internal departments to ensure accurate claim evaluation, timely resolution, efficient parts movement, and high customer satisfaction. The Warranty Executive also maintains all documentation, data records, and provides weekly and monthly warranty reports.   Key Responsibilities 1. Warranty Claim Evaluation Review and refine all received warranty claims for accuracy and completeness. Identify discrepancies, suspicious cases, or potential fraud. Verify warranty eligibility using dispatch dates, claim history, and system data. 2. Customer Interaction & Validation Conduct validation and confirmation calls with customers and dealers. Gather feedback on warranty issues and ensure claim authentication. 3. Warranty Data Processing Generate warranty claim numbers and maintain tracker sheets. Record, update, and manage claim documents and approval status with full accuracy. 4. Mail & Communication Handling Respond to all warranty-related emails and calls professionally. Share claim updates, clarifications, approvals, and dispatch details with dealers and customers. 5. Material Movement Tracking Monitor and track inward movement of warranty parts from the field. Coordinate outward dispatch of approved warranty replacement parts. Maintain logistics and parts movement status logs. 6. Warranty Requisition & Reporting Prepare weekly warranty requisition sheets for planning replacements. Compile and submit monthly warranty reports for assigned states. 7. Coordination & Follow-ups Coordinate with dealerships and internal departments for quick claim closures. Follow up on pending cases, approvals, part movement, and material returns. 8. Customer Retention & Feedback Collect and evaluate customer feedback related to warranty. Help improve customer retention by providing timely support and issue resolution. 9. Documentation & Data Management Maintain required documents including CSN, POD, customer data, and claim related documents. Ensure correct documentation is maintained and updated in the system.
