Virtual Assistant

Role Overview:

We are hiring two Virtual Assistants who will directly support our design team by sourcing, organizing, and delivering high-quality creative assets. Each VA will be responsible for fulfilling daily asset requirements for 20 designers. Your job is simple but requires speed, discipline, and precision: get the right assets to the right designers at the right time.

This includes stock images, stock videos, SFX, AI-generated visuals, and AI-generated voiceovers. You will be trained in ElevenLabs voice generation and Freepik AI model workflows to ensure you can produce top-tier assets on demand.

Key Responsibilities:

1. Asset Sourcing & Fulfillment

Handle asset requests from up to 20 designers assigned to you.

Quickly locate relevant stock images, videos, SFX, and other production materials.

Deliver assets within defined timelines (SLA-based workflow).

2. AI-Based Asset Generation

Use Freepik AI models to generate custom images as per design requirements.

Use ElevenLabs to create high-quality voiceovers for creative projects.

Maintain consistent output quality and follow brand guidelines.

3. Asset Management & Organization

Maintain a structured asset library for easy access by the design team.

Ensure proper naming, tagging, and categorization of all assets.

Track asset versions and maintain an organized supply pipeline.

4. Coordination & Communication

Collaborate closely with the Creative Ops team to clarify asset specs.

Communicate proactively with designers to ensure accurate fulfillment.

Report daily output and bottlenecks.

Required Skills & Qualifications:

Technical Requirements:

High-speed internet (100 Mbps minimum) — non-negotiable.

Decent system configuration capable of handling AI tools, downloading large files, and handling multi-tab workflows.

Familiarity with cloud drives (Google Drive, Dropbox, etc.).

Basic understanding of file formats (JPEG, PNG, MP4, WAV, etc.).

Soft Skills:

Fast execution and ability to work under tight deadlines.

Strong attention to detail — no sloppy or mismatched assets.

Ability to learn tools quickly (you will be trained).

Clear communication and task ownership.

Mindset Requirements:

Strong interest in AI tools and willingness to learn new workflows.

Proactive approach — not waiting for instructions every minute.
