Job Title: Transport Manager

Department: Administration / Operations
Reporting To: Principal / Head – Operations / Management

Job Purpose

To plan, manage, and oversee safe, efficient, and cost-effective transportation operations, ensuring timely movement of students/staff, regulatory compliance, vehicle upkeep, and disciplined driver conduct.

Key Responsibilities1. Transport Operations

• Plan and manage daily transport routes, schedules, and vehicle deployment.
• Ensure timely pickup and drop of students/staff without delays.
• Optimize routes to reduce fuel cost, time, and vehicle wear.
• Arrange substitute vehicles/drivers during breakdowns or absences.

2. Safety & Compliance

• Ensure compliance with Motor Vehicle Act, School Transport Guidelines, and RTO norms.
• Ensure all vehicles have valid:
• RC, FC, Permit, Insurance, PUC
• Fitness and Speed Governor (if applicable)
• Conduct regular safety audits of buses and drivers.
• Ensure first-aid kits, fire extinguishers, GPS, CCTV (if applicable) are functional.
• Conduct driver safety briefings and training periodically.

3. Driver & Staff Management

• Recruit, train, and manage drivers, cleaners, and transport assistants.
• Monitor attendance, discipline, behavior, and performance.
• Ensure drivers follow speed limits, SOPs, and child safety protocols.
• Handle grievances, misconduct, and corrective actions.

4. Vehicle Maintenance

• Schedule preventive maintenance as per manufacturer standards.
• Coordinate with workshops and vendors for repairs and servicing.
• Verify estimates, bills, and job cards for accuracy.
• Monitor recurring issues and take corrective measures.
• Maintain vehicle-wise maintenance history.

5. Fuel & Cost Control

• Monitor fuel consumption and mileage for each vehicle.
• Detect fuel pilferage or abnormal consumption.
• Maintain fuel logs and vendor reconciliation.
• Work on cost optimization and budget control.

6. Records & Documentation

• Maintain transport registers:
• Vehicle log books
• Driver duty rosters
• Fuel and maintenance records
• Incident/accident reports
• Prepare monthly MIS reports on:
• Fuel consumption
• Maintenance cost
• Breakdowns
• Route efficiency

7. Stakeholder Coordination

• Coordinate with Principals, Admin, Finance, and Vendors.
• Handle parent/student transport complaints professionally.
• Liaise with RTO, Police, Insurance companies when required.
• Support inspections, audits, and affiliation requirements (CBSE/State).

8. Emergency & Incident Management

• Respond immediately to accidents, breakdowns, or emergencies.
• Coordinate medical assistance, police intimation, and reporting.
• Ensure proper documentation and follow-up.

Qualification & Experience

• Graduate / Diploma in Transport, Mechanical, or Operations (preferred)
• 5–10 years of experience in transport operations
• Experience in school/institutional transport is an added advantage

Job Type: Full-time

Pay: ₹18,000.00 - ₹24,000.00 per month
