Job Description: Travel Desk Manager

Position Overview

The Travel Desk Executive is responsible for managing the company’s travel operations, fleet movement, and cab services to ensure smooth and timely transportation for employees, clients, and guests. This role involves coordinating with vendors, monitoring fleet activities, ensuring safety compliance, and delivering cost-effective travel solutions.

Key Responsibilities

1. Fleet Management

  • Manage day-to-day operations of the company’s fleet, including cars, cabs, and hired vehicles.
  • Monitor fleet scheduling, route planning, and allocation to ensure maximum efficiency.
  • Maintain vehicle records such as RC, insurance, PUC, service logs, and fuel consumption data.
  • Ensure proper upkeep, servicing, and cleanliness of all vehicles.
  • Coordinate with the Fleet Executive/Fleet Supervisor for timely vehicle availability.

2. Cab Service & Transportation Coordination

  • Arrange cab services for employees, management, and visitors as per travel requirements.
  • Ensure timely pick-up and drop-off services by coordinating with internal teams and vendors.
  • Handle emergency travel requests and provide quick transport solutions.
  • Track cab movements using GPS or fleet management tools to ensure safety and timely arrival.
  • Resolve issues related to cab delays, driver behavior, or route problems.

3. Vendor & Driver Management

  • Liaise with external travel vendors for cab services, vehicle rentals, and driver availability.
  • Negotiate rates, prepare comparison sheets, and finalize contracts.
  • Ensure all drivers follow company policies, grooming standards, and safety protocols.
  • Maintain driver attendance, performance records, and shift schedules.

4. Travel Desk Operations

  • Manage domestic travel arrangements including cabs, company cars, hotel bookings, and transport passes.
  • Maintain a travel calendar and ensure proper coordination for meetings, visits, and events.
  • Prepare travel reports—daily, weekly, and monthly—for management review.
  • Handle billing, invoices, and payment follow-ups with travel vendors.

5. Communication & Customer Service

  • Serve as the point of contact for all travel-related queries from employees and management.
  • Provide information on travel routes, transport availability, and estimated travel time.
  • Address complaints, provide resolutions, and ensure a positive travel experience.

6. Compliance & Safety

  • Ensure all vehicles and drivers comply with safety and regulatory guidelines.
  • Monitor adherence to company travel policies.
  • Report any incident, accident, or breakdown immediately and arrange backup transport.

Required Skills & Qualifications

  • Graduate in any discipline; certification in Travel & Tourism or Logistics preferred.
  • 2–5 years of experience in fleet management, travel desk operations, cab services, or transportation coordination.
  • Knowledge of GPS tracking systems and fleet software.
  • Strong vendor management, negotiation, and communication skills.
  • Ability to handle multiple travel requests and work under pressure.
  • Proficiency in MS Excel, MIS reporting, and email communication.

Additional Responsibility

  • Responsible for picking & dropping patients to remote locations and coordinating travel arrangements through local vendors.

Job Type: Full-time

Pay: ₹30,000.00 - ₹40,000.00 per month
