Tender Executive- HVAC& Electrical Work

Job Summary:

The Tender Executive is responsible for preparing, coordinating, and submitting tenders, proposals, and quotations for HVAC (Heating, Ventilation & Air Conditioning) and electrical projects. The role involves reviewing technical specifications, analyzing project requirements, coordinating with internal teams and suppliers, and ensuring compliance with tender documents to deliver competitive and accurate submissions within deadlines.

Key Responsibilities:

1. Tender Preparation & Submission

Review and analyze tender documents, drawings, and specifications for HVAC and electrical works.

Identify scope of work, technical requirements, and commercial terms.

Prepare Bill of Quantities (BOQ), cost estimates, and pricing sheets.

Prepare technical and commercial proposals in line with client requirements.

Coordinate with the procurement team for supplier and subcontractor quotations.

Ensure timely submission of tender documents (both online and offline).

2. Coordination & Communication

Liaise with design, estimation, procurement, and project departments for input on pricing and technical details.

Communicate with clients, consultants, and vendors to clarify tender requirements or discrepancies.

Attend pre-bid meetings, site visits, and tender clarification sessions when required.

3. Documentation & Compliance

Ensure all tenders comply with company policies, client requirements, and relevant regulations.

Maintain tender documentation, correspondence, and revision records systematically.

Update tender databases and track ongoing and completed submissions.

4. Costing & Analysis

Perform rate analysis and prepare cost comparisons for HVAC and electrical materials and services.

Analyze tender results and prepare post-tender reports.

Support management in pricing strategy, risk assessment, and value engineering proposals.

5. Continuous Improvement

Maintain awareness of market trends, competitor pricing, and new materials or technologies in HVAC and electrical systems.

Contribute to improving estimation templates, tools, and processes.

Qualifications & Skills:

Education:

Bachelor’s Degree / Diploma in Mechanical, Electrical, or Building Services Engineering.

Experience:

2–5 years of experience in tendering or estimation for HVAC and electrical projects.

Familiarity with MEP (Mechanical, Electrical, and Plumbing) project standards and tendering processes.

Technical Skills:

Proficiency in AutoCAD, MS Excel, and estimation software (e.g., Candy, CCS, or equivalent).

Knowledge of HVAC systems, electrical layouts, load schedules, and related technical specifications.

Strong understanding of project costing and BOQ preparation.

Soft Skills:

Excellent written and verbal communication.

Strong analytical and numerical skills.

Attention to detail and accuracy.

Time management and ability to work under tight deadlines.

Key Performance Indicators (KPIs):

Accuracy and completeness of tender submissions.

Number of tenders submitted on time.

Win/loss ratio of submitted tenders.

Pay: ₹35,504.95 - ₹41,005.18 per month
