Job Description

A telecaller at an IVF center is responsible for patient communication, appointment scheduling, and lead conversion. Key duties include handling inquiries about fertility services, providing information on treatments, booking appointments, and following up with potential patients with empathy and professionalism. They must also maintain accurate patient records, coordinate with internal teams, and meet performance targets.  Key responsibilities Handle patient communication: Answer incoming calls and make outbound calls to prospective and existing patients. Address their questions about IVF and other fertility treatments, costs, procedures, and success rates with sensitivity and professionalism. Provide counseling and support: Offer empathetic reassurance and support to patients navigating the emotional challenges of fertility treatment. Guide them through the initial steps of the process. Manage appointments: Schedule consultations, diagnostic tests, and follow-up visits. Coordinate these appointments with doctors, nurses, and other relevant departments. Convert leads: Follow up with leads generated from various sources (digital platforms, referrals, walk-ins) and encourage potential patients to book appointments. Maintain accurate records: Keep detailed and confidential records of all patient interactions, call outcomes, and follow-ups using a customer relationship management (CRM) system or other hospital software. Coordinate with teams: Act as a liaison between patients and the clinical, marketing, and finance departments to ensure a seamless patient experience. Achieve targets: Meet and report on daily, weekly, or monthly targets for calls made, appointments booked, and patient conversions. Ensure confidentiality: Handle all patient data with discretion and professionalism, adhering to healthcare regulations and privacy guidelines.  Required skills and qualifications Communication: Excellent verbal communication skills are essential, often requiring fluency in local languages in addition to English. Empathy and patience: The ability to handle sensitive and emotional conversations with compassion and a patient-focused attitude is critical. Basic medical knowledge: A basic understanding of medical and fertility-related terminology is often preferred. Technical proficiency: Experience with data entry and using call management systems or CRM software is necessary. Organizational skills: Strong time-management and organizational skills are needed to manage calls, schedule appointments, and maintain accurate records effectively. Sales aptitude: The role involves a sales component, requiring the ability to persuade and convert potential patients. Confidentiality: A professional and discreet approach to handling sensitive patient information is mandatory
