Survey and Compliance Coordinator

Responsibilities

• Assist surveyors with scheduling, job briefs, shipstaff/client liaison and overall coordination of survey activities.
• Prepare and maintain survey paperwork, checklists, templates, forms and review reports for accuracy and completeness.
• Ensure photo evidence, defect codes and references are properly documented before submission.
• Maintain versioncontrolled records: survey logs, attendance, compliance registers, CAPA entries, auditrelated documents.
• Support the maintenance of the integrated management system (ISO 9001 / 14001 / 45001) update procedures, registers, compliance records.
• Help with audit preparation and follow up on NCRs / correctivepreventive actions.
• Coordinate with internal teams, surveyors, ship staff and clients for scheduling, followups, and documentation requests.
• Draft and send professional correspondence emails, technical summaries, communications with clients or ships as needed.

Requirements

• Seafaring background (preferably 2nd Officer / 3rd Officer) or relevant maritime experience.
• Strong computer skills including proficiency in MS Office (Excel, Word, Outlook) and good comfort with documentation/software.
• Excellent communication skills written and verbal to liaise with surveyors, ship staff, clients and internal teams.
• High attention to detail and focus on accuracy (for documentation, photo evidence, defect codes, compliance records, versioncontrol).
• Ability to work independently as well as coordinate with multiple stakeholders clients, internal teams, ship staff.
• Good organizational and timemanagement skills able to handle scheduling, followups, auditprep, documentation control.
• Ability to work under pressure and meet deadlines.
• Strong sense of accountability, responsibility and ethics.
• Familiarity with compliance procedures, document control and maintaining auditready systems (knowledge of standards like ISO 9001 / 14001 / 45001 is a plus).
