Key Responsibilities

  • Lead Reservations & Ops:

    Own end-to-end execution for domestic & international school groups—from enquiry handover to trip closure.
  • Hotel Reservations:

    Negotiate rates & contracts, manage rooming lists, inventory, meal plans, and special requests; ensure on-time vouchers.
  • Airline & Transport:

    Plan group fares/blocks, reissues/date changes, baggage rules; coordinate coaches, local transport, and airport assistance.
  • DMC & Vendor Management:

    Maintain a strong network of DMCs, hotels, transporters; drive SLAs, rate parity, pickups/releases, and reconciliations.
  • Itinerary Feasibility & QC:

    Do time–distance checks, slot/stagger planning, safety reviews, and operational risk assessments for each day’s plan.
  • Crisis & Contingency:

    Activate alternates for weather/closures, manage escalations, medical first-aid coordination, and incident documentation.
  • Stakeholder Liaison:

    Coordinate seamlessly with schools (principals/teachers), tour managers, accounts, content, and parent-communication teams.
  • Documentation & Compliance:

    Prepare manifests, rooming lists, visa letters/NOCs, permits, insurance details; ensure adherence to SOPs.
  • Budgeting & MIS:

    Build cost sheets, protect margins, track POs/invoices, vendor payments; maintain dashboards and post-tour reconciliations.
  • SOPs & Training:

    Standardize checklists, brief tour managers, run pre-departure huddles, and drive continuous improvement via feedback loops.

Must-Have Qualifications

  • 4–5+ years

    in operations/reservations within travel (groups/MICE/education travel a plus).
  • Strong knowledge of

    domestic & international destinations

    (SEA, UAE, Europe preferred).
  • Hands-on with

    hotel & flight reservations

    ; group fares/blocks; basic

    GDS

    exposure (Amadeus/Galileo/Sabre) preferred.
  • Proven

    DMC/hotel network

    and vendor negotiation skills.
  • Excellent written & verbal communication; calm under pressure; deadline-driven.
  • Proficient in

    Excel/Google Sheets

    , CRM/ops tools; strong MIS hygiene.
  • Willingness for seasonal/time-sensitive work and occasional travel.

Good to Have

  • Experience with

    school/educational tours

    , risk management, and child-safety protocols.
  • Visa coordination exposure (Schengen/UAE/Vietnam/SEA).
  • First-aid certification or prior safety training.
