Job Description

As the Facilities Manager, your primary responsibility is to oversee the maintenance, cleanliness, and safety of office facilities. This includes managing repairs, coordinating with vendors and service providers, and ensuring that all utilities, office equipment, and infrastructure are functioning optimally. You will be in charge of office space allocation, ensuring efficient use of office resources, and supervising the upkeep of common areas to meet company standards and compliance regulations. Additionally, you will manage office relocation or renovation projects and implement safety protocols and emergency response systems for the office environment. Your role will also involve handling negotiations, renewals, and execution of all facility-related agreements such as maintenance contracts, lease agreements, service-level agreements (SLAs), and vendor contracts. You will evaluate and monitor vendor performance, ensure services are provided as per agreed terms, and liaise with internal departments to resolve any service issues or discrepancies. It will be your responsibility to ensure compliance with contractual obligations and manage contract documentation effectively. In terms of administrative support, you will provide general assistance to senior management, including managing schedules, correspondence, and meeting coordination. You will also prepare and maintain reports related to facilities management and administrative operations, organize company events, meetings, and team-building activities, and manage office supplies efficiently through streamlined procurement processes. You will assist in preparing and managing the budget for office operations and facilities maintenance, tracking expenses to align with allocated budgets, and identifying cost-saving opportunities. Ensuring compliance with local health and safety regulations, managing office insurance policies, and ensuring that all administrative documents are compliant with applicable laws and regulations will also fall under your purview. Collaboration with HR, IT, and other internal departments to ensure smooth operations and seamless service delivery is crucial. You will act as the point of contact for employees regarding facilities-related queries and concerns, provide leadership and support to junior administrative staff, and manage day-to-day administrative workflows effectively.
