Job Description

Job Responsibilities
Procurement & Vendor Management Handle day-to-day purchasing of food, beverage, engineering, housekeeping, and operating supplies. Source products as per approved vendors and IHG procurement standards. Obtain competitive quotations and prepare comparative statements. Negotiate prices, quality, delivery timelines, and payment terms. Purchase Order & Documentation Prepare and issue Purchase Orders (POs) as per approval matrix. Ensure all purchases are supported by proper approvals and documentation. Maintain accurate records of POs, GRNs, invoices, and contracts. Cost Control & Compliance Ensure purchases are within budget and approved cost parameters. Follow IHG policies, SOPs, and ethical sourcing guidelines. Support internal and external audits with required documents. Inventory & Stores Coordination Coordinate with Stores for timely receipt of materials. Ensure correct quantity and quality of items received. Monitor stock levels to avoid overstocking or stock-outs. Assist in monthly inventory and stock verification. Vendor Coordination Maintain strong relationships with suppliers and service providers. Resolve supply issues, shortages, or quality concerns. Ensure timely submission and processing of vendor invoices. Cross-Department Coordination Coordinate with F&B, Kitchen, Engineering, Housekeeping, and Operations for procurement needs. Ensure urgent and emergency requirements are fulfilled on time. Sustainability & IHG Standards Support sustainable and responsible purchasing initiatives. Promote cost-effective and environmentally responsible procurement practices in line with IHG’s Responsible Business goals. - Skills & Competencies Strong negotiation and coordination skills. Knowledge of hotel procurement and inventory systems. Good command of MS Excel and documentation. Attention to detail and strong follow-up skills. Ability to work under pressure and meet deadlines. - Qualifications & Experience Graduate in Commerce / Hotel Management preferred. 2–4 years of experience in hotel purchasing.
