Purchase Executive

Role & responsibilities:

1. Procurement & Sourcing

• Identify, source, and evaluate suppliers for spare parts, tools, and consumables.
  
• Compare quotations, analyze price trends, and negotiate best rates.
  
• Conduct regular market visits to find alternative suppliers and substitutes.
  
• Maintain updated knowledge of automotive parts and market pricing.
  

2. Purchase Order Management

• Generate purchase orders as per requirements from workshop/team.
  
• Track order status and ensure timely deliveries.
  
• Coordinate with warehouse/store team for GRN (Goods Received Note) verification.
  
• Resolve issues related to short supply, wrong items, or returns.
  

3. Vendor Management

• Develop and maintain strong vendor relationships.
  
• Evaluate vendor performance based on quality, pricing, and delivery timelines.
  
• Maintain vendor database and ensure proper documentation.
  
• Follow up with vendors on pending deliveries or product availability.
  

4. Cost Control & Negotiation

• Identify opportunities for cost reduction while maintaining quality.
  
• Negotiate contracts, rates, and credit terms with vendors.
  
• Benchmark pricing regularly to avoid overpayment.
  

5. Inventory & Documentation

• Coordinate with stores to monitor stock levels and reorder when necessary.
  
• Maintain purchase records, invoices, and vendor bills.
  
• Verify vendor bills and forward for accounts processing.
  
• Assist in audits by providing required purchase data.
  

6. Coordination

• Work closely with workshop team, service advisors, stores, and accounts.
  
• Ensure urgent requirements are fulfilled without delays.
  
• Escalate stock shortages or critical part requirements immediately.

Preferred candidate profile

• Strong negotiation & communication skills
  
• Good market research and vendor evaluation ability
  
• Proficiency in MS Excel, purchase software, or ERP systems
  
• Attention to detail & strong follow-up skills
  
• Ability to manage multiple vendors and requirements simultaneously
